We're an established and respected company expanding operations into California, and we're seeking an Office Manager with HR experience to support both our daily office functions and be the go-to for our employees on site.

Essential Functions Include :

  • Participate in general office management including greeting customers & vendors, answering incoming phone calls, and managing files.
  • Maintain business licenses and other compliance requirements.
  • Send COI / W9 upon customer request.
  • Request COI from the insurance company for each customer.
  • Track jobs through project coordination and request lines on projects when needed.
  • Complete vendor request forms for payment / new customer accounts.
  • Manage WRAP Portal and Masterworks – collect and update all needed documents for contract work, keep COIs up to date, track monthly payroll hours on jobs, etc.
  • Handle pre-qualification paperwork and contracts – review contracts, request COI / workers' comp info / liability insurance.
  • Perform accounting functions including billing, invoicing, and AP / AR.
  • Purchase needed office items, receive mail and deliveries.
  • Assist with coordination and scheduling of subcontractors as needed.
  • Book flights, trips, hotels, etc.
  • Review candidates and schedule interviews for managers.
  • Coordinate pre-placement activities, schedule FMCSA DOT drug screens, and communicate new hire info to HR.
  • Coordinate onboarding activities for new employees.
  • Maintain copies of DOT certifications and expirations, ensuring confidentiality and accuracy.
  • Review and approve timecards with management for payroll processing, track call outs.
  • Assist with wage adjustments, update HRIS documents.
  • Work with HR to ensure compliance with EEO, FMLA, ADA, FLSA, OSHA, and other laws.
  • Assist with employee reviews, relations, or investigations.
  • Educate employees on benefits, open enrollment, and company policies.
  • Coordinate and facilitate training sessions as needed.
  • Construction industry experience is preferred.

Job Type : Full-time

Pay : From $30.00 per hour
