Our client, a boutique financial communications and public relations firm, is seeking a polished and highly self-sufficient Executive Assistant / Office Manager to provide support to two Partners who oversee the San Francisco office. This is an immediate opportunity for a seasoned EA who enjoys being hands‑on, taking ownership, and serving as a key point of contact for both executives and the office. The ideal candidate is confident, resourceful, and comfortable working in a close‑knit, fast‑paced environment.
Responsibilities
- Provide high-level administrative support to two Partners, including managing complex calendars and inboxes.
- Coordinate extensive domestic and international travel arrangements and itineraries.
- Serve as a key point of contact for office operations and day-to-day administrative needs.
- Manage relationships with office vendors and coordinate building and facility-related needs.
- Oversee office supplies, packages, deliveries, and general office organization.
- Coordinate recurring office lunches and other team needs.
- Maintain a polished, organized, and welcoming office environment.
- Handle hands‑on office responsibilities as needed, including kitchen and dishwasher upkeep.
- Partner with the broader EA team in New York for additional administrative support when needed.
- Anticipate needs, troubleshoot issues, and independently manage priorities with minimal direction.
Qualifications
- 5+ years of Executive Assistant experience, ideally supporting senior executives or Partners.
- Strong experience managing complex calendars, inboxes, and travel arrangements.
- Previous office management or office coordination experience strongly preferred.
- Highly organized, detail-oriented, and able to juggle multiple priorities.
- Professional, polished, and confident communication style.
- Self-sufficient and comfortable taking ownership without extensive oversight.
- Strong vendor management and problem‑solving skills.
- Proficiency with Microsoft Outlook / Office 365.
- Comfortable working in a hands‑on, in‑office environment.
- Ability to thrive within a close‑knit team and adapt to changing priorities.

- Schedule: Primarily onsite, 5 days/week initially; potential for a hybrid schedule of 3 days onsite
