Job summary

EasyPost seeks an Office Manager & Executive Assistant to serve as a critical operational partner, overseeing daily office operations, hospitality, facilities coordination, and vendor management. The role supports the VP of Client Services & Operations and the Chief of Staff with calendar management, travel, meetings, and confidential communications.

  • Proficiency in Google Workspace (Meet, Docs, Sheets, Slides) or Microsoft 365, and familiarity with Slack.

  • Ability to handle sensitive company and personal information with absolute confidentiality.
  • Self-starting partner who anticipates needs and identifies operational gaps.
  • No task is too small; able to pivot when priorities shift.
  • Ability to work from the office 5 days per week during regular office hours.

Responsibilities

  • Act as first point of contact and host for guests, customers, partners, vendors, and deliveries.
  • Host interview candidates, manage onsite schedules, provide office tours and onboarding.
  • Manage relationships with landlord and building services; ensure equipment is functional.
  • Oversee office supplies, mail, and shipping; coordinate welcome packages and bulk shipments.
  • Coordinate in-office perks and assist in planning events to encourage office presence.
  • Proactively solicit feedback to improve in-office experience.
  • Maintain office security protocols and emergency plans.
  • Proactively manage complex calendars for executives; prioritize meetings and resolve conflicts.
  • Coordinate end-to-end travel arrangements; flights, hotels, and ground transport.
  • Monitor executive inboxes for urgent items and respond timely.
  • Support Chief of Staff with events, expenses, real estate management, and CEO support.

Position Summary

The Office Manager & Executive Assistant serves as a critical operational and administrative partner responsible for creating a seamless, high‑touch headquarters experience while supporting executive leadership. This role oversees daily office operations, front‑of‑house hospitality, facilities coordination, vendor management, employee experience initiatives, and workplace culture programs to ensure a productive, organized, and welcoming environment for employees, candidates, customers, and partners. The position also provides dedicated executive support to the VP of Client Services & Operations and Chief of Staff through complex calendar management, travel coordination, meeting preparation, expense management, and confidential communications.

Essential Duties and Responsibilities

Office Management (In‑Person)

  • Act as the first point of contact and primary host for guests, customers, partners, vendors, and deliveries; ensure a seamless “red carpet” experience from arrival to departure.
  • Partner with the People team to host interview candidates, manage their onsite schedule, provide office tours, and ensure they feel welcomed and informed throughout their visit.
  • Manage relationships with the landlord, building services, and maintenance; ensure all office equipment (printers, AV, coffee machines) is functional.
  • Regularly walk the office, noting maintenance needs and keeping public spaces neat and orderly.
  • Oversee inventory and procurement for office supplies, snacks, and beverages.
  • Serve as the central hub for all HQ mail and shipping; manage secure intake and sorting of daily mail while coordinating outbound logistics—including new employee welcome packages, client gifting, and bulk shipping projects.
  • Coordinate in‑office perks (catered breakfasts) and assist in planning events or office activities; generate and execute creative ideas to encourage local employees to work from the physical office.
  • Solicit feedback from the team to identify ways to improve their in‑office experience.
  • Maintain office security protocols and emergency preparedness plans.

Executive Assistant Support (VP Client Services & Chief of Staff)

  • Proactively manage complex calendars, prioritizing urgent meetings and resolving scheduling conflicts.
  • Handle end‑to‑end travel arrangements including flights, hotels, and ground transportation.
  • Monitor the VP of Client Services’ inbound email for urgent items and ensure timely responses.
  • Assist the Chief of Staff with event support, expense reports, real estate management, and provide additional support for the CEO when needed.
  • Process monthly expense reports and track budgets for the leadership team.
Minimum Education & Experience Qualifications
  • 3+ years in office management or a high‑level administrative role; experience in luxury hospitality or high‑end corporate environments is a major plus.
  • Proficiency in Google Workspace (Meet, Docs, Sheets, Slides) or Microsoft 365, and familiarity with Slack.
  • Exceptional verbal and written communication skills.
  • Ability to handle sensitive company and personal information with absolute confidentiality.
  • Self‑starting partner who anticipates the needs of the office and leadership team; identifies operational gaps and implements solutions independently.
