Job summary

Assurance Care & Support Services Inc in Edison, NJ is seeking an organized Office Manager to oversee daily administrative operations, support staff, clients and caregivers, and ensure compliance with state regulations.

You will manage client and employee files, schedules, timesheets, payroll support, and audits, while coordinating scheduling and maintaining confidentiality.

Qualifications

  • High school diploma required; degrees preferred.
  • 2+ years in administrative/office management, healthcare setting preferred.
  • Knowledge of DDA, Medicaid or healthcare regulations is desirable.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient with Microsoft Office and scheduling tools.

Responsibilities

  • Oversee day-to-day administrative tasks including phones, scheduling, and emails.
  • Manage client intake process and maintain accurate records.
  • Supervise office staff; provide training and support.
  • Ensure compliance with state and agency policies (DDA regulations).
  • Maintain employee files, background checks, and training records.
  • Coordinate caregiver/client scheduling and match staff to clients.
  • Manage timesheets, attendance, and payroll processing support.
  • Order and manage office supplies and medical equipment inventory.
  • Serve as liaison between clients, families, staff, and healthcare professionals.
  • Prepare reports, filing systems, and support audits and inspections.
  • Support hiring, onboarding, and training for new employees.

Key Responsibilities
  • Manage day‑to‑day administrative tasks including answering phones, scheduling, and responding to emails.
  • Oversee client intake process, including collecting required documentation and maintaining accurate records.
  • Supervise office staff, providing guidance, training, and support as needed.
  • Ensure compliance with state and agency policies (including DDA regulations).

  • Coordinate caregiver/client scheduling and match appropriate staff to clients based on needs and availability.

Qualifications

  • Minimum of 2 years of administrative or office management experience, preferably in a healthcare or home care setting.
  • Knowledge of DDA, Medicaid, or healthcare regulations is highly desirable.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and scheduling software.
  • Ability to maintain confidentiality and manage sensitive information professionally.
  • Detail‑oriented with strong problem‑solving abilities.
Schedule
  • Monday to Friday (Full‑Time) / Part‑Time
  • Occasional weekends or after‑hours support as needed
