Office Manager over sees daily office operations, maintains accurate financial records, and supports essential human resources functions. This role requires strong organization, confidentiality, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Office Management:
Manage daily office operations, supplies, equipment, vendors, and facilities.
assist with answering phone calls when needed, answer emails and general inquiries.
Maintain organized electronic and physical filing systems.
Coordinate meetings, calendars, and company events.
Prepare correspondence, reports, presentations, and internal communications.
Negotiate with vendors and monitor office-related contracts and expenses.
Support management with administrative projects and operational needs.
Maintain a professional, safe and efficient workplace.
Bookkeeping:
Record financial transactions accurately in the account system.
Manage accounts payable and accounts receivable.
Reconcile bank accounts, credit card statements, and general ledger accounts.
Maintain receipts, expense reports, and supporting financial documentation.
Payroll processing, payroll records, and related reporting.
Prepare routine financial reports for management.
Coordinate with external accountants, tax professionals, and auditors.
Help maintain compliance with financial procedures and internal controls.
Human Resources:
Maintain confidential employee files and HR records.
Support recruiting, Advertisement, interview scheduling, hiring, onboarding and offboarding.
Prepare employment documents, offer letters, and onboarding materials.
Track attendance, paid time off, benefits information, and required training.
Assist with payroll changes and employee benefits administration.
Respond to routine employee questions regarding company policies and procedures.
Support performance-review and employee-development processes.
Help maintain the employee handbook, job descriptions, and HR forms.
Assist management with workplace concerns while handling information professionally and confidentially.
Support compliance with applicable employment laws and recordkeeping requirements.
Associate or bachelor's degree in business administration, accounting, work experience in human resources.
At least 3 years of experience in office administration, bookkeeping, HR, or a similar combined role.
Working knowledge of accounts payable, accounts receivable, bank reconciliation, and payroll.
Experience with accounting software such as Sage, or a comparable platform.
Familiarity with HR practices, employee records, benefits, and onboarding.
Strong written and verbal communication skills.
Excellent organizational, time-management, and problem-solving abilities.
High level of accuracy, discretion, integrity, and confidentiality.
Ability to work independently and prioritize competing responsibilities.
