Role Description
Vareika Construction, Inc. is seeking an organized, dependable, and detail-oriented Office Manager to support our construction operations from our West Bridgewater office. This position will coordinate daily administrative activities, assist with bidding and project documentation, support payroll and employee benefits administration, and help ensure the office operates efficiently.
Responsibilities
- Manage day-to-day office administrative activities.
- Print and organize construction plans, specifications, addenda, and related bid documents from BidDocs and Project Dog.
- Monitor municipal websites and procurement pages for upcoming projects, bid opportunities, plan updates, and submission requirements.
- Assist with bid preparation and maintain organized electronic and physical project files.
- Order and maintain office supplies and equipment.
- Prepare and submit certified payroll reports in accordance with applicable Department of Labor requirements.
- Order bid bonds for upcoming projects and coordinate related documentation with surety companies and project teams.
- Track supplier diversity requirements on projects and report to the project managers
- Assist with employee benefits administration, including enrollment paperwork, employee questions, and communication with benefit providers.
- Maintain accurate records, spreadsheets, correspondence, and filing systems.
- Communicate professionally with employees, subcontractors, municipalities, vendors, insurance and bonding companies, and other business contacts.
- Provide general administrative support to company management and project personnel.
- Handle confidential employee and company information with discretion.
- Perform other related administrative duties as needed.
Qualifications
- Prior office management, administrative, or construction office experience preferred.
- Familiarity with BidDocs, Project Dog, and municipal procurement websites is highly desirable.
- Experience with certified payroll reporting and Department of Labor requirements preferred.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple tasks, deadlines, and priorities.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and PDF document tools.
- Strong written and verbal communication skills.
- Ability to work independently while also collaborating effectively with management and field personnel.
- Professional, dependable, and service-oriented approach.
- Construction industry, public bidding, payroll, bonding, or employee benefits experience is a plus.
