The Office Manager position plays a key role in providing and supporting the business administrative functions of SageWater and its Alexandria VA HQ office. This pivotal position is accountable for ensuring efficient administrative support across the organization and maintaining a productive and compliant office environment including by supporting senior leadership, managing office resources, and fostering a collaborative workplace culture.

The ideal candidate will demonstrate a proactive approach in supporting our leadership, administrative teams, and our diverse workforce in our operations across multiple U.S. locations. We operate as a company with an “all hands-on deck” attitude and successful candidates should be willing and excited to roll up their sleeves to support ad-hoc requests, one off projects, and the occasional curve ball that requires a reprioritization of planned activities for the day. Flexibility and a positive attitude are essential to success.

This is a full-time, exempt position based at our headquarters in Alexandria, Virginia, with a standard workweek of Monday through Friday, requiring five days on-site. This position requires the use of a personal vehicle to perform various administrative duties, including but not limited to transporting materials between company locations or to external vendors and assisting in the setup or coordination of company events both on- and off-site. Reporting to the Director of Human Resources as part of the HR team, the Office Manager will provide direct administrative support to senior executives and collaborate closely with the HQ team. This position does not have any direct reports.

Key Responsibilities:

  • Support Executive Leadership including by organizing meetings, managing communications, coordinating travel, and managing their expense reporting.
  • Oversee daily office functions, including scheduling, correspondence, stocking office supplies, and ensuring the organization and cleanliness of common areas.
  • Support the HR function including onboarding, training, and employee relations.
  • Manage relationships with office vendors and service providers, ensuring timely delivery of services and products (e.g., landscaping, pest control, office cleaning and trash removal, HVAC maintenance, printer/copier maintenance, etc.).
  • Serve as a point of contact between management, employees, clients, and vendors to facilitate effective communication.
  • Assist in budget preparation, track office expenses, process invoices, and manage related accounts payable and receivable.
  • Develop and implement office policies and procedures to ensure a productive, compliant, and efficient work environment.
  • Maintain office equipment and software, ensuring operational efficiency.
  • Plan and organize company events, meetings, and conferences as needed (including management events, holiday parties, etc.)
  • Perform receptionist duties including greeting visitors and monitoring and responding appropriately to mail, email, and phone calls, including customer inquiries and business opportunities.
  • Drive a personal vehicle regularly to perform various local administrative and support responsibilities.
  • Organize and maintain records, files, and documentation, ensuring compliance with industry regulations and company policies.

Required Skills and Qualifications:

  • Minimum of three years of recent experience as a full-time office manager or administrator in a similar environment
  • Experience providing administrative support to employees and operations across multiple locations simultaneously
  • Proven ability to provide collaborative support to senior leadership
  • Demonstrated project management experience
  • Experience in budgeting, invoicing, and financial record keeping
  • Excellent communication and interpersonal skills to effectively interact with employees at all levels
  • Demonstrated proficiency at working both independently and collaboratively in a dynamic environment in a rapidly growing organization
  • Proficiency in Microsoft Office Suite, vendor platforms, and expense management systems
  • Detail-oriented with strong organizational and time management skills
  • Ability to maintain confidentiality and handle sensitive financial and employee information
  • Excellent communication skills in English, written and spoken
  • Must be able to lift up to 25 to 30 pounds without assistance, reach, stretch, bend, and walk including up and down steps during daily routine
  • Must have valid driver’s license
  • Must be authorized to work for any employer in the United States

Preferred candidates will also have a Bachelor’s degree; a current Notary license in Virginia; proficiency in other languages (particularly Spanish); and/or prior construction industry experience.

Salary Range : $70,000 – 80,000 annualized base pay based upon experience and qualifications
