The San Antonio Report, a nonprofit newsroom that serves Bexar County and surrounding areas, is looking for a driven, detail-oriented Office Manager to report to the CEO on operational matters. As a member of the business team, you will be comfortable managing projects, tracking deadlines and deliverables and have a get-it-done approach to our work. As a small newsroom, the ability to pivot as priorities change is a must.

We are a community-minded news outlet, and our business team is an essential part of supporting the mission to bring San Antonians the essential news coverage and live events that help them be more informed and engaged in local issues.

Key ResponsibilitiesHuman Resources & Team Support:

  • Manage all Human Resources functions of hiring, onboarding, time-off procedures, job descriptions, benefit administration and communications
  • Hiring: Project manage the hiring process for the organization. Draft and post job descriptions, schedule interviews, monitor applications and screen candidates for both the business team and newsroom
  • Onboarding and Offboarding: Coordinate onboarding and offboarding, benefits, payroll and employee records with our external Professional Employer Organization and accounting firm
  • Manage the organization’s internship program, recruiting and securingtwo interns per semester - one business team and one newsroom
  • Ensure compliance with labor laws, plus our union contract and internal policies
  • Manage the About Us, job posting and events pages of our website
  • Help make PTO and leave determinations and approve requests
  • Project manage periodic tasks like performance reviews and financial reporting to staff
  • Support basic bookkeeping tasks, including invoicing, expense tracking and working with accountants
  • Prepare custom financial reports and graphs as needed
  • Work with external accountants and auditors to ensure compliance and accurate reporting

Event Support:

  • Prepare and update graphics for events using Canva
  • Attend events as needed to support success
  • Work closely with contracted event management team for event execution
  • Prepare invoices for event sponsorships and event correspondence

Board of Directors Support:

  • With input from the CEO, create agendas and circulate materials in advance
  • Prepare for board meetings including any remote board member attendance needs
  • Maintain board documents

Development:

  • Support outsourced grant proposal development and reporting as needed
  • Collaborate on revenue-generating initiatives, such as events, partnerships and sponsorships

Operational Oversight:

  • Oversee daily office operations and serve as the primary point of contact for internal and external administrative matters
  • Manage office supplies, both hardware and software equipment and facilities
  • Coordinate scheduling, meetings and travel for team members
  • Manage vendor contracts, service agreements and facilities-related logistics.
  • Maintain Google Suite

Required Qualifications:

  • Bachelor’s degree in Business Administration, Human Resources, Finance, or related field
  • 3+ years of experience in business operations, finance, human resources, or management
  • Excellent organizational and project management skills

Work Experience

  • Prior experience with G-Suite
  • Prior experience creating graphics via Canva

Salary & Benefits

The San Antonio Report seeks a wide range of candidates to consider for this exciting opportunity. The salary range for this position is $50,000-$60,000; however, salary will be determined based on experience and qualifications. The San Antonio Report offers 20 days PTO annually, 11 paid holidays, and competitive benefits.
