We are a growing, 20-employee food and nutritional supplement manufacturing company seeking a detail-oriented Office Manager/Bookkeeper. This position combines office administration with comprehensive bookkeeping responsibilities and is critical for maintaining accurate financial records, managing inventory costs, and supporting our day-to-day operations.

The ideal candidate will be proficient in QuickBooks with experience in inventory valuation and cost-of-goods-sold (COGS) calculations. We are currently upgrading from QuickBooks to an ERP system, so technical aptitude and experience with Enterprise Resource Planning (ERP) systems such as Microsoft Dynamics, SAP, Oracle, Epicor, Aptean, or similar software is highly preferred.

We are located in an Industrial Park off US-19 in North St Pete. This is an on-premise job.

RESPONSIBILITIES:

Bookkeeping & Financial Management:

  • Manage Accounts Payable (A/P) and Accounts Receivable (A/R) processes, including paying bills, receiving payments, and invoicing customers
  • Perform accurate monthly bank and credit card reconciliations
  • Maintain and update detailed records for inventory valuation
  • Calculate and monitor Cost of Goods Sold (COGS) on a monthly basis to ensure accurate financial statements and proper book closure
  • Allocate freight, labor, and other manufacturing-related costs to inventory
  • Prepare monthly financial statements, including balance sheets and profit & loss reports
  • Address and resolve inventory discrepancies promptly

Purchasing & Inventory Management:

  • Generate, track, and manage purchase orders
  • Reach out to existing vendors and potentially identify new vendors for commoditized products
  • Obtain competitive pricing from multiple vendors
  • Monitor and maintain optimal inventory levels for raw materials and supplies
  • Maintain a comprehensive catalog of parts and common supplies
  • Ensure timely delivery and handle vendor returns
  • Track and organize purchasing documentation

Office Management & Administration:

  • Monitor and manage office budgets and expenditures
  • Oversee the cleanliness and organization of the office environment
  • Handle basic HR functions including tracking employee PTO requests and maintaining time-off records
  • Organize and maintain files and records, both physical and digital
  • Assist in the implementation of new office policies and procedures

Technical Requirements:

  • Must be comfortable working with computer software and systems as all functions are computer-based
  • Participate in software system upgrade from QuickBooks to new ERP platform
  • Adapt to new software implementations and system changes

QUALIFICATIONS:

Required:

  • Solid foundation in accounting principles and bookkeeping practices
  • Proficiency in QuickBooks
  • Strong technical skills and comfort with computer software and systems
  • Experience with inventory valuation and COGS calculations
  • Self-starter mentality with ability to work independently
  • Strong attention to detail and organizational skills

Preferred:

  • Experience with ERP systems (Microsoft Dynamics, SAP, Oracle, Epicor, Aptean, or similar)
  • Previous experience in manufacturing environment
  • Purchasing and vendor management experience
  • Basic HR administrative experience

We will provide specialized training on our specific software systems and procedures, but candidates should come with a strong foundational knowledge of accounting and bookkeeping principles.
