About the Role

MWH is seeking a qualified Office Manager to support and ensure the smooth operation of our corporate office in Phoenix, AZ. The Office Manager is a vital team member responsible for various administrative and operational tasks.

Essential Functions
Office Operations
  • Represent the company at reception; greet visitors and support employees, clients, vendors.
  • Ensure efficient office operations.
  • Develop and communicate intra-office messages, streamline procedures, manage supplies, and administer site badging.
  • Handle routine administrative duties like accounts payable, expense reports, and requisitions.
  • Manage maintenance, mailings, shipping, supplies, and errands.
  • File documents, fax, copy, print, and distribute mail.
  • Coordinate meetings and prepare draft minutes.
  • Assist with scheduling, calendar updates, and travel arrangements.
  • Maintain the office environment, including kitchen and storage areas.
  • Create and maintain records, charts, spreadsheets, and databases.
  • Oversee special projects and keep leadership informed.
  • Manage relationships with vendors and service providers.
  • Prepare materials for meetings and ensure equipment operation.
Human Resources Support
  • Support onboarding for new hires, including logistics, office tours, and safety orientations.
  • Maintain new hire paperwork and ensure compliance.
  • Assist new employees and support HR initiatives.
  • Maintain employee records and support interview processes.
  • Participate in office orientations and engagement events.
  • Monitor organizational charts, contact lists, and seating arrangements.
  • Serve as a liaison for employee concerns and policy questions.
  • Ensure compliance with HR regulations.
  • Assist with offboarding logistics.
  • Handle sensitive information with confidentiality.
Basic Qualifications
  • Minimum of 5 years as an Office Manager or Executive Assistant.
  • High School diploma or equivalent.
  • Proficiency in Microsoft Office and Outlook.
  • Ability to work onsite five days a week.
  • Experience supporting diverse administrative tasks independently.
  • Organized, flexible, proactive, and able to meet deadlines.
  • Discretion with confidential information.
  • High-quality work under pressure.
  • Excellent interpersonal and customer service skills.
Preferred Qualifications
  • Experience in a professional services firm, especially engineering or construction.
  • 2- or 4-year degree preferred.
