Job Title: Office Manager - Accounting
Department: 1400 A St.
FLSA Status: Exempt
Summary:
The Office Manager will play a critical role in ensuring the smooth operation of the office and administrative and accounting functions. You will be responsible for managing day-to-day operations and coordinating with other departments to ensure the efficiency and effectiveness of the company as needed.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.
  • Obtain and maintain a thorough understanding of the financial reporting, general ledger structure, and knowledge of accounting principles
  • Accounts Payable/Receivable/Payroll Processing knowledge
  • Ensure a smooth, accurate, and timely monthly, quarterly, and year-end financial close.
  • Ensure the timely reporting of all monthly financial information.
  • Ensure the accurate and timely processing of positive pay transactions at the bank.
  • Complete monthly bank account reconciliations in a timely and accurate manner.
  • Complete W-2, 1095, and 1099 reporting
  • Files Quarterly State and Federal Payroll Tax Returns
  • Manage 401 (k) and Profit Sharing Plan
  • Manage the commercial insurance package renewal
  • Process renewal of fleet license plates with the DMV & maintain required document folders for the fleet
  • Assist in external audits and DOL Surveys
  • Monitor and analyze department work to develop more efficient procedures and the use of resources while maintaining a high level of accuracy
  • Manage the Accounting AP & PR office staff
  • Collaborate with other department managers
  • Manage and renew all business licenses
  • Manage NTA license plates
  • Order supplies for all divisions
  • Respond to complaints from agencies (i.e., BBB, NTA, etc.)
  • Reconcile the administrative fee in the Auto Return monthly
  • Reconcile the administrative fee in Aries monthly and create an invoice to be sent for payment.
Supervisory Responsibilities:
  • Supervises 0-6 employees regularly.
  • Handles performance, discipline, and termination of employees in accordance with company policy and as a team with the human resources department.

Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience:
  • 5 years of prior experience in financial reporting/general ledger and an extensive understanding of GAAP.
  • Experience processing payroll for 100-200 employees is strongly preferred, but not required.
  • Knowledge of Federal and State compensation laws and administrate standards.
  • Knowledge of 401k/Profit Sharing plan administration.
  • Extensive experience with the SAGE100 accounting system is required.
  • Must have strong experience with Microsoft Word and Excel.
  • Ten key touch experience required.
  • Must be PC Proficient and able to thrive in a fast-paced work setting.
  • Strong verbal and written communication skills.
  • Strong interpersonal, supervisory, and customer service skills required.
  • Ability to multitask, work under pressure, and meet required deadlines.
  • A bachelor’s degree in Accounting is preferred but not required.
Language Skills:
  • Ability to effectively present information and respond to questions from managers (s)/supervisors, clients, customers, and the general public.
  • Fluency in Spanish, reading, and writing is a plus, but not required.
Mathematical Skills :
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent. Ability to accurately use a calculator.
Reasoning Ability:
  • Ability to solve practical problems and deal with a variety of concrete variables.
Physical Demands:

While performing the duties of this Job, the employee is regularly required to use hands to finger, handle, or feel and stoop, kneel, or crouch. The employee is frequently required to stand, walk, sit, and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds.
