Job description

Childrens Medical Center is a busy general pediatric office that has serviced our communities for over 27 years. We have 4 locations and offer great benefits after 60 days of employment, including paid time off, health, dental, vision, life, and long- and short-term disability insurance. This position is directly responsible for the smooth running of the staff and the daily operations of the clinical and front staff areas. The Office Manager will work closely with the Practice Administrator and Managing Physician to ensure quality employee and patient satisfaction. The Office Manager will oversee patient flow, reception, registration, co-payments, co-insurance, and collections. The role includes clinical responsibilities such as seeing patients with physicians and performing triage, alongside management duties. The candidate must have current licensure or certification and be CPR certified.
Daily Responsibilities:
  1. Manage staffing schedules for clinical and front staff.
  2. Oversee PTO requests for clinical and front office staff.
  3. Supervise staff in daily responsibilities, including telephone triage.
  4. Train, coach, discipline, and counsel staff as needed.
  5. Maintain accessibility to staff regarding personnel issues.
  6. Oversee doctors' schedules and optimize patient scheduling.
  7. Act as intermediary between staff and physicians for problems and concerns.
  8. Ensure timely follow-up and resolution of patient complaints.
  9. Maintain personnel files for all staff.
  10. Collaborate with other managers and the Revenue Cycle Director for office operations.
Other Responsibilities:
  1. Provide OSHA training to new employees within 48 hours of hire.
  2. Maintain OSHA records.
  3. Lead recruitment, interviews, reference checks, and hiring with approval from the Practice Administrator and Physician.
  4. Establish staff training and in-service programs.
  5. Develop and implement policies and procedures.
  6. Maintain educational materials for staff.
  7. Schedule and lead staff meetings.
  8. Participate in monthly physician meetings.
  9. Maintain a nursing reference area with current educational materials.
  10. Update or establish telephone triage protocols.
  11. Maintain staff personnel files, including licenses, CME, and CPR certifications.
  12. Ensure staff immunization records are current and schedule annual vaccinations.
  13. Oversee maintenance and quality control of lab equipment and records (CLIA).
  14. Manage ordering and stock levels of medical supplies, lab supplies, immunizations, and forms.
  15. Oversee the VFC program, Nebulizer dispensing, and referral/care coordination.
  16. Manage end-of-day deposits and balances.
  17. Assist staff and physicians with EMR processes.
  18. Manage drug representative meetings.
  19. Perform other duties as required.
Annual Responsibilities:
  1. Prepare and present staff performance evaluations.
  2. Conduct OSHA and CLIA reviews.
  3. Renew CLIA license.
Qualifications:
  • High school diploma or equivalent.
  • Medical Assistant, LPN, or RN certification/licensure.
  • 2-3 years of experience in healthcare or medical field.
