WATG is hiring an Office Manager for our office in Los Angeles, California.

ROLE

The Office Manager welcomes and interacts with clients, consultants, vendors, and employees to our office. This position has overall responsibilities for the workspace, office environment, coordinates local processes and procedures, and prioritizes an array of other office-wide responsibilities and administrative tasks in support of employees and visitors.

Responsibilities

  • Responsible for office security protocols
  • Manages the planning and coordination of office events
  • Manages archiving process and supplier contract in accordance with WATG guidelines
  • Upkeeps the storage rooms and maintains the overall office appearance, including public areas, supply areas, and print rooms
  • Provides administrative assistance to one or more managers and senior leaders and supports the day-to-day administrative workflow of a project team, studio or department
  • Manages office supplier contracts
  • Manages supplier relationships to ensure quality of service
  • Liaises with the Operations Director in managing office budgets
  • Assists Operations Director with various duties and tasks where necessary
  • Prepares expense reports and reconciles monthly expenses for accuracy and completeness
  • Manages all health and safety protocols for the office and ensures compliancy with the latest regulations
  • Coordinates and trains all new starters on the company’s health and safety processes and procedures
  • Manages office seating arrangements
  • Is the main point of contact for the landlord and building manager in all aspects related to facilities management
  • Manages office improvements and facilities’ protocols
  • Oversees and provides back up to the Administrative Assistant and Front Desk Coordinator
  • May proofread and edit correspondence
  • May oversee coordination of monthly parking passes
  • Works closely with human resources and participates in new-hire onboarding and employee exit procedures

Qualifications

  • 5+ years of relevant office experience with a small-to-mid-sized organization
  • Excellent customer service skills and the ability to manage different needs and requests in a manner that is professional and empathetic
  • Effectively gathers and shares information to respond to employee inquiries
  • Ability to multi-task job priorities and demands effectively
  • Able to operate efficiently with minimal guidance
  • Strong proficiency in Microsoft Office Suite
  • Strong organizational skills and highly effective attention to detail
  • Proven capability to consistently manage ever-changing schedules and priorities
  • Excellent time management skills with a proven ability to meet deadlines
  • Discreet, adaptable, trustworthy, and flexible with outstanding work ethics
  • Emotionally intelligent, with excellent communication, problem-solving, and critical thinking skills

JOB INFORMATION
