Job Summary:

We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office and support our service team. The ideal candidate will be tech-savvy, personable, and experienced in QuickBooks, scheduling software, and customer service. This position plays a critical role in maintaining operational flow, ensuring customer satisfaction, and supporting team productivity.

Key Responsibilities:
  1. Manage and maintain office operations, supplies, and vendor relationships
  2. Handle all aspects of QuickBooks including invoicing, expense tracking, job costing, and payroll coordination
  3. Answer and direct incoming calls with professionalism, focusing on customer satisfaction and conflict resolution
  4. Schedule service and installation appointments efficiently, balancing team availability and customer needs
  5. Serve as the liaison between the office, sales, and field teams to ensure seamless workflow
  6. Respond to customer inquiries and resolve service-related issues, especially difficult or dissatisfied customers
  7. Maintain organized digital and physical records
  8. Assist with reporting, job tracking, and office-based administrative support tasks
Qualifications:
  1. Proven experience in an office manager or similar administrative role
  2. Strong proficiency with QuickBooks and other office software (e.g., Microsoft Office, Google Workspace, CRM systems)
  3. Exceptional communication skills, especially over the phone
  4. Ability to remain calm and empathetic when managing difficult customer situations
  5. Detail-oriented with excellent organizational and multitasking abilities
  6. Experience with scheduling and dispatching is a strong plus
  7. Familiarity with construction, home services, or field-based operations is preferred
