Job Summary:
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office and support our service team. The ideal candidate will be tech-savvy, personable, and experienced in QuickBooks, scheduling software, and customer service. This position plays a critical role in maintaining operational flow, ensuring customer satisfaction, and supporting team productivity.
Key Responsibilities:
- Manage and maintain office operations, supplies, and vendor relationships
- Handle all aspects of QuickBooks including invoicing, expense tracking, job costing, and payroll coordination
- Answer and direct incoming calls with professionalism, focusing on customer satisfaction and conflict resolution
- Schedule service and installation appointments efficiently, balancing team availability and customer needs
- Serve as the liaison between the office, sales, and field teams to ensure seamless workflow
- Respond to customer inquiries and resolve service-related issues, especially difficult or dissatisfied customers
- Maintain organized digital and physical records
- Assist with reporting, job tracking, and office-based administrative support tasks
Qualifications:
- Proven experience in an office manager or similar administrative role
- Strong proficiency with QuickBooks and other office software (e.g., Microsoft Office, Google Workspace, CRM systems)
- Exceptional communication skills, especially over the phone
- Ability to remain calm and empathetic when managing difficult customer situations
- Detail-oriented with excellent organizational and multitasking abilities
- Experience with scheduling and dispatching is a strong plus
- Familiarity with construction, home services, or field-based operations is preferred
