Keesee and Son’s Painting and Carpentry, an established, progressive and growing Commercial Construction Services and Painting contractor in Crawfordsville and the greater Indianapolis area is now accepting applications for a thorough, assertive, and logical individual to join our team.

The Customer-Focused Office Manager is a critical part of our company so it’s important that the person we choose will be a “fit” with our commitments and shared values. ABOUT THE JOB - KEY RESPONSIBILITIES:

Customer Support:

  • Answer incoming calls and schedule appointments for our sales team.

  • Ensure customers receive excellent follow-up and progress update communication via company channels, phone, email, CRM, etc.

  • Assist with addressing customer needs while delivering excellent service.

  • Communicate and collaborate with staff to assist with scheduling assistance, project support, information requests, etc.

  • Assist in setting up projects for production.

  • Provide post job follow up and ensure customer satisfaction.

Office Management

  • Manage Receipt Bank

  • General electronic file management

  • Manage office supply inventory

Bookkeeping Assistance

  • Invoice customers

  • Manage receipt program

  • Provide back up information as needed to our 3rd party Bookkeeper.

HR Support:

  • Oversee and run our hiring process by posting ads, reviewing applicants, scheduling candidate interviews with the hiring manager, etc.

  • Onboard new employees and sub contractors by meeting with them, explaining our paperwork, processes, etc.

  • Review timesheets, modify and run payroll, etc.

  • Manage PTO accrual and time off requests.

Sales Support

  • Provide support during the life of the lead including appointment setting, light pre-qualifying, appointment confirmation, and follow up.

Marketing Support

  • Manage marketing calendar and marketing vendors to ensure timely and consistent marketing activity.

  • Occasionally attend networking and community events.

  • Deliver customer gifts on occasion

REQUIREMENTS:

  • Administrative experience; supporting a high-level manager or business owner.

  • Experience working in a service or construction company (preferred)

  • Previous experience overseeing projects - timelines, resources needed, scheduling, etc.

  • We are a tech driven company…Cloud-based software, familiarity with and willingness to learn new technologies and applications.

  • Proven history at producing measurable results.

  • Ability to pass background check.

  • DISC Assessment we will provide you with.

SCHEDULE:

  • 40 hours per week

  • 8-4:30 preferred

  • In our location

COMPENSATION:

  • $55,000 per year
