Dauphin County Court Appointed Special Advocates (CASA) is seeking a full-time Office Manager for their Linglestown Road, Harrisburg, PA, location. Dauphin County CASA is a local non-profit, which is part of the National CASA/GAL movement to help children who have experienced abuse and/or neglect. Since its establishment in 2018, Dauphin County CASA has trained eleven classes of citizen volunteers, advocating for over 40 children in the Children and Youth protective Services system! Dauphin County CASA is ready to expand capacity to allow the organization to serve even more children in need and a strong office administrator is imperative to that growth. The successful candidate will be responsible for the following:
· Develop and maintain office systems that support Dauphin County CASA’s operations:
o Managing all aspects of the mail
§ Filling out thorough bank deposit slips
§ Scanning checks and filing them
o Data entry in Optima, QuickBooks, and a constituent management system
o Filing
§ Physical and digital files
§ Use of Microsoft Teams for file keeping
o Develop formalized procedures relating to responsibilities
· Managing staff/program calendars in Microsoft Outlook.
o Schedule monthly appointments with program volunteers
o Schedule event gatherings
o Other calendar needs as necessary
· Answer office phone and respond to voicemail messages
· Greet guests who arrive at the office
· Draft professional letters
· Lead role for communication with key stakeholders including:
o PA CASA for program and website needs
o Board/committee members
o Judges/Court Systems
· Assist in logistics and administrative duties related to community fundraisers, social events, board meetings, etc.
· Act as liaison for board/committee member communication
o Communicating board/committee meetings
o Other communications as needed
o Writing and sending thank you letters
· Volunteer and program support
o Schedule information sessions
o Track volunteer clearances and due dates.
· Ability to design in Canva or similar a plus
This is a full-time position consisting of 37.5 hours of office work per week, with a pay rate starting at $17 per hour, and benefits within the first 60 days.
The successful candidate’s work schedule will be negotiated upon acceptance of the position, with the expectation that the agreed upon schedule is to be consistent. It is imperative that the Office Manager be available to work in person, as telecommuting is not an option for this role.
The Office Manager position will provide the successful candidate with a dynamic experience, involving consistent interaction with committed volunteer child advocates, along with the program Board of Directors. Exceptional customer service is imperative.
Candidate must be self-motivated and able to work independently as well as in a team environment. Must take initiative, have flexibility, and demonstrate a genuine appreciation in working with a diverse audience. The successful candidate will be expected to always maintain a high level of confidentiality and professionalism.
