Job summary

  • Independence and ownership of responsibilities.
  • Associate’s or bachelor’s degree preferred but not required.

  • Track certificates of insurance, contracts, W-9s, and other compliance documents.
  • Prepare, organize, distribute, and electronically file contracts and other documents.
  • Assist with invoices, purchase orders, receipts, and general bookkeeping data entry.
  • Order office supplies and coordinate office equipment maintenance.
  • Provide professional customer service to clients, subcontractors, and vendors
  • Monitor deadlines and follow tasks through to completion
  • Protect confidential company, employee, customer, and financial information

Responsibilities
  • Manage daily office operations, phone calls, emails, mail, and scheduling
  • Receive, document, and coordinate deliveries
  • Maintain organized project, vendor, employee, and company files
  • Track certificates of insurance, contracts, W-9s, and other compliance documents
  • Follow up with subcontractors and vendors for missing or expired documentation
  • Perform accurate data entry and maintain company spreadsheets and databases
  • Prepare, organize, distribute, and electronically file contracts and other documents
  • Assist with invoices, purchase orders, receipts, and general bookkeeping data entry
  • Order office supplies and coordinate office equipment maintenance
  • Provide professional customer service to clients, subcontractors, and vendors
  • Monitor deadlines and follow tasks through to completion
  • Protect confidential company, employee, customer, and financial information
