The Office Manager is responsible for the smooth daily operations of the Grand Rapids Office and overseeing the tax processing side. Responsibilities may change at any time. The role reports directly to the Firm Administrator and supervises seasonal, administrative interns, or support staff. This is a full-time, nonexempt position, Monday through Friday.

Essential Job Functions
  1. Greet and assist clients as needed.
  2. Answer and direct phone calls.
  3. Monitor project deadlines and communicate conflicts to ensure timely completion.
  4. Work with the administrative team to standardize office procedures and implement improvements.
  5. Oversee Accounts Receivable, petty cash, and office supplies.
  6. Handle administrative duties related to tax season, including scanning, assembly, e-filing, and follow-up.
  7. Maintain organized electronic client files.
  8. Support office team members and the Firm Administrator.
  9. Oversee scanning of client files, facilities maintenance, and office upkeep.
  10. Manage bank confirms for audits and client setup for Firm Portal.
  11. Coordinate shredding, mailings, and keep client information updated.
  12. Recommend improvements in office automation and assist with other support duties.
  13. Maintain regular attendance and punctuality.
