The Office Manager is responsible for the smooth-running, day-to-day operations of the Grand Rapids Office and overseeing the processing side of the tax process. Duties, responsibilities, and activities for this position may change at any time with or without notice. This position reports directly to the Firm Administrator, and this position supervises any seasonal, administrative intern or administrative support positions. This position is classified as Nonexempt under the Fair Labor Standards Act and is full time Monday through Friday.
Essential Job Functions
Ø Greet and assist clients as needed.
Ø Phones – answer and direct phone calls.
Ø Monitors project due dates to ensure all work is completed in a timely manner. Communicate deadline and workload conflicts to partners as needed to ensure timely completion of work.
Ø Works with Firm Administrator and other administrative team members to standardize office procedures, systems, and forms. Recommend system revisions and implement new forms and procedures as necessary.
Ø Oversees Accounts Receivable for the Grand Rapids office from deposits to collections.
Ø Responsible for Grand Rapids petty cash.
Ø Responsible for office supply purchases.
Ø Tax Season – Responsible for all administrative duties related to tax processing including scanning, assembly of returns, e-filing, tracking and follow-up.
Ø Responsible for maintaining organized electronic storage of client files.
Ø Provide support to Grand Rapids office team members and Firm Administrator, as needed.
Ø Oversee scanning of client files.
Ø Act as a main contact for facilities maintenance, office upkeep and cleanings.
Ø Responsible for bank confirms for audits.
Ø Responsible for client set-up and operation of Firm Portal.
Ø Shredding – Coordinate regular pickup of shredding materials.
Ø Coordinate and monitor all mailings, keep client information updated in various software systems.
Ø Stay abreast of trends in office automation and recommend improvements to existing systems when appropriate
Ø Other support staff duties to include but not limited to, Mail (outgoing/incoming), copying, scanning, filing.
Ø Regular and predictable attendance and punctuality.

Ø Technical skills: Strong proofing skills including good vocabulary, attention to detail and ability to work with numbers. Proficient with all aspects of Office 365 with an emphasis on Word, Excel and Outlook.
Ø Organizational skills: Strong organizational skills necessary, with ability to complete responsibilities/assignments with limited oversight. Ability to work quickly and accurately, and under pressure.
