Position Overview

The Office Manager oversees the daily operations of our Grand Rapids Office and manages the processing side of tax procedures. Reporting directly to the Firm Administrator, this full-time, Monday through Friday position supervises administrative staff and interns. It is classified as Nonexempt under FLSA.

Essential Job Functions
  1. Greet and assist clients as needed.
  2. Answer and direct phone calls.
  3. Monitor project deadlines, communicate conflicts, and ensure timely completion.
  4. Standardize office procedures, recommend revisions, and implement new forms.
  5. Manage Accounts Receivable and petty cash.
  6. Oversee office supplies and coordinate tax season administrative duties.
  7. Maintain organized electronic client files.
  8. Support office team members and oversee facilities maintenance.
  9. Handle bank confirmations for audits and client setup for Firm Portal.
  10. Coordinate shredding, mailings, and update client information in systems.
  11. Stay updated on office automation trends and suggest improvements.
  12. Perform general support duties like mailing, copying, scanning, and filing.
  13. Maintain regular attendance and punctuality.
