Responsibilities Include But Are Not Limited To
- Quoting & Customer Communication:
- Generate and prioritize quotes for parts, service, and projects.
- Review incoming purchase orders and ensure alignment with proposals.
- Obtain vendor pricing and maintain active follow-up to ensure accuracy.
- QuickBooks Management:
- Maintain accurate item pricing and descriptions.
- Create and manage sales orders, purchase orders, and shipping labels.
- Match deposits to corresponding invoices and manage banking entries.
- Inventory & Order Fulfillment:
- Monitor inventory and consumables, reorder as necessary.
- Confirm picked parts and prepare for shipping with correct documentation.
- Vendor Coordination:
- Place and track orders for non-stock items.
- Maintain communication to ensure timely vendor performance.
- Team Oversight & Quality Control:
- Train, support, and oversee a team of two on-site and two remote staff members.
- Identify and correct workflow errors proactively.
- Maintain high attention to detail to ensure operational accuracy.
- General Office Administration:
- Update spreadsheets and records regularly.
- Organize and maintain detailed administrative files and transaction logs.
The Ideal Candidate Should Possess
- Proven experience with QuickBooks and administrative systems.
- High level of accountability and organizational skills.
- Strong attention to detail with commitment to accuracy.
- Effective leadership skills with experience coaching junior team members.
- Excellent communication with both vendors and internal teams.
- Ability to manage multiple priorities efficiently.
- Prior experience in a small business environment is a plus.
