Job summary

The Hollister Group in Cambridge, MA is seeking an experienced administrative professional to oversee daily office functions and coordinate spaces for programs and events. You will handle inquiries, reservations, and resource needs while maintaining office systems.

Ideal candidates have 2–3 years of admin/office management experience, strong organizational and communication skills, and proficiency with Microsoft Office and Google Workspace.

Qualifications

  • High school diploma or equivalent.
  • 2-3 years of administrative or office management experience.
  • Strong organizational and multitasking skills with sharp attention to detail.
  • Excellent written and verbal communication capabilities.
  • Proven track record of planning and executing events of various sizes.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and basic troubleshooting of office technology.
  • Ability to work independently and collaboratively in a team environment.
  • Experience with office logistics, resource management, and vendor coordination.
  • Previous experience in higher education environments working with students and faculty is preferred.

Responsibilities

  • Oversee daily office functions, including managing inquiries, reservations, and resource needs.
  • Maintain the technology systems, such as video conferencing, printers, laptops, and room reservation platforms.
  • Serve as the primary liaison with external service providers for maintenance and support.
  • Coordinate and prepare spaces and rooms for various programs, courses, and events.
  • Manage supplies and inventory, ensuring the community kitchen and office areas remain stocked and welcoming.
  • Process facilities work orders and follow through to resolution in a timely manner.
  • Administer access control systems in collaboration with security providers and IT staff.
  • Support onboarding of temporary staff, student workers, and new team members with system access and orientation.
  • Assist with event planning, execution, and logistical management for a range of internal and external gatherings.
  • Provide exceptional customer service to visitors, attendees, and stakeholders, demonstrating professionalism and responsiveness.

$28.00- $30.00/hr
