Job summary

Complete Legal seeks a detail-oriented Office Coordinator to support administrative, facilities, HR, and insurance-related functions across our Mission and Overland Park offices. This role ensures smooth day-to-day operations and supports employee experience.

The Office Coordinator will oversee daily operations, vendor relationships, and core administrative tasks while supporting the broader Business Administration team and reporting to the Director of Operations and Finance.

Qualifications

  • 3+ years of experience in office administration, office management, or a similar role.
  • Experience supporting HR functions and payroll systems; knowledge of Paylocity’s payroll system is a plus.
  • Strong organizational skills with the ability to manage multiple priorities.
  • High attention to detail and ability to handle confidential information with discretion.
  • Comfortable on the phone, answering in-bound calls, talking to clients, vendors, etc.
  • Proactive, self-starter with a problem-solving mindset.
  • Ability to work independently while collaborating across teams.
  • Comfortable managing vendor relationships and external partners.
  • Proficiency in Microsoft Office and general business systems.
  • Full-time, in-office position based in Mission, KS.
  • Daily in-office presence required to support operational, employee, and facility needs, including support of multiple office locations.
  • Reliable transportation required to support multiple office locations.

Responsibilities

  • General Office Administration and Management: Answer calls, direct inquiries, manage facility needs, support two Kansas City-area offices, maintain breakroom inventory, coordinate with vendors, address maintenance issues, prepare the office for visitors and meetings, and book travel as needed.
  • Human Resources & Employee Support: Serve as primary contact for health insurance, 401(k), benefits, open enrollment, onboarding/offboarding, maintain employee records, communicate benefits/policies, and monitor state wage changes for compliance.
  • Accounting & Administrative Support: Open mail, assist Controller, generate invoices, process invoicing, resolve invoicing issues, mail statements, and process electronic deposits.

Position Overview & Description

We are seeking a detail-oriented and proactive Office Coordinator to support a wide range of administrative, facilities, HR, and insurance-related functions. This role plays a critical part in ensuring the day-to-day operations of the office run smoothly while also supporting employee experience and organizational efficiency.

The Office Coordinator will oversee daily operations and support functions for the company’s two Kansas City-area offices located in Mission, KS and Overland Park, KS; while also serving as a resource for employees across the organization, including team members in St. Louis, Chicago, and New York City, as well as remote employees nationwide. This individual will serve as a key resource for employee questions related to benefits and HR processes, while also managing building operations, vendor relationships, and core administrative and accounting support functions.

The Office Coordinator will report directly to the Director of Operations and Finance and work closely with leadership and team members across the organization. This role is part of the broader Business Administration team and offers strong potential for growth and advancement based on individual performance, initiative, and desire to grow as the company continues to expand.

Key Responsibilities
General Office Administration and Management
  • Answer incoming calls and direct inquiries appropriately
  • Act as the primary point of contact for building management and facility-related needs
  • Support operations across both office locations in Mission and Overland Park
  • Ensure both offices are fully stocked with supplies and refreshments, including shopping for and maintaining breakroom inventory
  • Coordinate with vendors and service providers to maintain a safe, clean, and functional office environment
  • Address maintenance issues and ensure timely resolution
  • Prepare the office for visitors and meetings, ensuring a professional and welcoming environment
  • Coordinate and book travel arrangements as needed, including flights, hotels, and related logistics
  • Work closely with the executive team to support administrative and operational needs
Human Resources & Employee Support
  • Serve as the primary point of contact for employee questions related to their health insurance, 401(k) plans, and other benefits
  • Coordinate open enrollment and assist with annual benefit renewals
  • Support onboarding and offboarding processes, including documentation and system updates
  • Maintain accurate and up-to-date employee records and files
  • Assist with employee communications related to benefits, policies, and company updates
  • Monitor labor law and minimum wage changes in every state where the company has employees to help ensure ongoing compliance.
Accounting & Administrative Support
  • Open mail and checks; ensure proper handling and routing
  • Work at the direction of the Controller to provide accounting and administrative support as needed
  • Tasks could include, but are not limited to, collaborating with various departments to generate invoices on a recurring basis, processing incoming accounting and invoicing requests, interacting with customers to resolve outstanding invoicing issues, mailing monthly statements to our clients and processing electronic bank deposits

  • 3+ years of experience in office administration, office management, or a similar role
