DESCRIPTION

This classification in the Office & Administrative Support Job Family provides office and administrative support to an agency, program, or operational unit. It requires operation of office equipment and knowledge of office processes and diverse clerical functions. This position is in the Property Tax Division of Maine Revenue Services. The role involves contributing to operational, production, and processing needs. It entails complex, varied office support tasks requiring a solid knowledge of modern office practices and equipment. Responsibilities include independent decision-making on processes, information processing, and actions following standard procedures.

REPRESENTATIVE TASKS
  • Complies with State policies, including security protocols and confidentiality policies for agency information.
  • Creates and uses varied correspondence formats and composes business correspondence.
  • Produces informational materials such as maps, charts, and graphs, involving drafting, formatting, illustrating, and manipulating text and graphics.
  • Develops and uses computerized formats and graphics for forms, pamphlets, and maps.
  • Updates web pages using established content and modern office software.
  • Examines documents, determines facts, detects errors, and takes appropriate action.
  • Performs secretarial duties like scheduling, appointments, travel arrangements, and document review.
  • Coordinates and presents workshops, training, and orientation sessions.
  • Writes periodic reports and administers/examines applicable tests.
  • Monitors contracts/licenses, manages fee collection, reconciliation, and deposits.
  • Answers calls and emails, determines customer needs, and provides technical assistance.
  • Interprets rules, regulations, policies, and procedures for routine cases.
  • Develops standard work procedures within guidelines.
  • May provide leadership for a work team, including scheduling, instructing, and reviewing work.
KNOWLEDGES, SKILLS, AND ABILITIES REQUIRED
  • Knowledge of graphics, illustration, and publication principles and equipment.
  • Knowledge of internet-based information distribution.
  • Skills in creating correspondence, reports, and graphics.
  • Ability to perform secretarial duties, administer exams, reconcile funds, and interpret regulations.
  • Ability to create graphics, update web content, and coordinate training sessions.
  • Effective communication, problem-solving, judgment, and leadership skills.

Positions in this classification assume all the characteristics and KSA’s of Office Assistant I, II, and Office Associate I.

MINIMUM QUALIFICATIONS

Experience demonstrating competency in modern office practices, complex support tasks, and independent decision-making, aligned with Office Assistant I, II, and Office Associate I qualifications.
