Qualifications

  • Associate’s degree or equivalent combination of education and experience.
  • High school diploma or GED.
  • Act 153 Clearances (Act 34 PA, Act 151 PA Child Abuse, Act 114 FBI).
  • Ability to prioritize and handle multiple tasks in a busy reception area.
  • Strong knowledge of word processing, spreadsheets, shared drives and database systems.
  • Excellent written and spoken communication; sensitivity to diverse populations.
  • Experience handling confidential information with integrity.

Responsibilities

  • Serve as receptionist and provide admin support for DSS/SEED events and programs.
  • Coordinate events, room bookings, attendee lists, and marketing materials.
  • Provide information about services to students, faculty, staff, and agencies.
  • Maintain student records and schedule appointments.
  • Enter data and generate reports from college databases.
  • Assist with budget monitoring for SEED and contracted services.
  • Support remote tutoring program and screen sessions as needed.
  • Train students in use of assistive/adaptive equipment.
  • Maintain ESS/DSS equipment inventory and troubleshoot equipment.
  • Coordinate testing scheduling with faculty and proctors.

Job description

This position serves as an office assistant, providing support tostudents, faculty, and staff in the areas of Disability SupportServices and the SEED program. The position coordinates generalcollege information and department-specific assistance for DSS/ESSto students. The Office Assistant reports directly to the AssociateDean for Student Learning and Organizational Development.

Work Schedule

PT 28 hours. Monday, Tuesday, and Thursday12:00 – 6:00 PM, Wednesday 1:00 – 6:00 PM and Friday, 12:00 – 5:00PM, Occasional nights and weekends required

Duties and Responsibilities
  • Serves as receptionist and provides administrative support forESS/DSS/SEED to include events, student activities, recruitment andretention initiatives, and professional development. This involvesproviding support for the Next Step Transition Conference and otherDSS/SEED events, including booking room(s), event setup,maintaining a database of attendees/outside resources, andassisting in preparing/updating marketing materials for workshopsand presentations.
  • Provides appropriate ESS/DSS information to students, faculty,staff, and local agencies regarding services available through ESS(Learning Specialist, DSS Learning Specialist, Tutoring, etc.) andeffectively and updates DSS departmental resources each semester(i.e. resources for mental health/behavioral health,diagnosis/testing, etc.).
  • Maintains student records DSS.
  • Schedules and coordinates student appointments, accessaccommodations, alternative test accommodations, adaptive equipmentloans, special classroom equipment, and contracted services.
  • Independently composes correspondence, reports and other formsof written communication.
  • Enters appointment data and generates reports from collegedatabase systems.
  • Provides input and retrieval for inter and intra-departmental,divisional and collegial reporting.
  • Duplicates, collates, and prepares mailings and informationalmaterials directed to students, faculty, staff, local agencies, andhigh schools.
  • Maintains updated budget system and monitors budgets andpurchases for SEED and other contracted services.
  • Assists with scheduling tutoring and learning specialistappointments and the implementation of ESS and DSS activities.
  • Provides support for remote tutoring program includingscreening tutoring sessions when needed.
  • Train students in the use of assistive/adaptive equipment.
  • Responsible for maintaining the ESS/DSS equipment inventory.Maintain records of DSS technology/equipment, knowledge oftechnology to troubleshoot technology/equipment borrowed bystudents.
  • Assists with the facilitation of transition workshops andcenter tours.
  • Coordinates scheduling of testing including working withfaculty and proctoring tests within the department.
  • Helps maintain an inviting appearance of ESS/DSS suite.
  • Other duties as assigned by supervisor.
Required Qualifications
Education
  • Associate’s degree from an accredited institution or acombination of education and experience sufficient to successfullyperform the essential duties of the job.
  • High school diploma/GED.
Clearances
  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PAChild Abuse History, Act 114 FBI Clearance Fingerprinting)

  • Some schedule flexibility will be required for officecoverage.
Preferred:
  • Bachelor’s Degree
  • Two years of related work experience.
  • Bilingual (Spanish/English)

  • Operate, handle, or feel objects, tools, or controls usinghands, arms, or adaptive equipment.
  • Ability to safely lift, transport, or move objects up to 15 lbsregularly and up to 25 lbs occasionally.
  • Vision capabilities sufficient to view screens, read printedmaterials, and observe work environments (with or without assistivedevices).
