DSNWK seeks a clerical assistant to provide general support for assigned staff in the Department - Supervised Services; Employment Services. The role covers word processing, transcription, mail, file maintenance, and scheduling coordination in a non-exempt environment.

Ideal candidates have a high school diploma and at least one year of related experience; related post-secondary training may substitute. A valid driver's license may be required where applicable, and confidentiality is essential.

Qualifications

  • One year related experience including word processing required.
  • Related post secondary certification may substitute for experience.

Responsibilities

  • Process incoming communications via telephone or personal visit, taking messages as necessary.
  • Perform word processing, including transcription when necessary, for assigned staff.
  • Maintain office supply inventories.
  • Maintain vehicle and/or equipment checkout log.
  • Oversee petty cash fund.
  • Schedule repair and maintenance of office machines as approved by supervisor.
  • Process incoming and outgoing mail.
  • Record minutes at meetings for assigned staff as requested utilizing the Minutes Database.
  • Remain current in office procedure technology through internal and external training resources.
  • Copy and/or collate manuals, reports, and packets upon request.

Job Summary

Provide clerical support for assigned staff.

Essential Functions
  • Process incoming communications via telephone or personal visit, taking messages as necessary.
  • Perform word processing, including transcription when necessary, for assigned staff.
  • Maintain office supply inventories.
  • Maintain vehicle and/or equipment checkout log.
  • Oversee petty cash fund.
  • Schedule repair and maintenance of office machines as approved by supervisor.
  • Process incoming and outgoing mail.
  • Record minutes at meetings for assigned staff as requested utilizing the Minutes Database.
  • Remain current in office procedure technology through internal and external training resources.
  • Copy and/or collate manuals, reports, and packets upon request.
Other Responsibilities
  • May be required to hire and supervise other clerical staff.
  • May be required to complete transportation ticket sale transactions.
  • May be required to complete data entry of tally cards.
  • Maintain office bulletin board.
  • May be required to perform CDDO administrative functions as outlined in the DD Reform Act of 1995 following the regulations in K.A.R. 30-63 and 30-64.
  • Complete other duties as assigned by Supervisor.
  • Will have access to PHI and EPHIof individuals required to perform clerical support for management and professional staff.
  • This position is not subject to the two year training period as defined by KPERS.
Job Specifications

Education - High School diploma or equivalent preferred, related post secondary training preferred. Related post secondary certification may substitute for experience requirement.

Experience - One year related experience including word processing required.

Extent of physical effort required: Routine job requirements. Little if any behavior or other physical intervention.

Comments:Position may have other physical requirements for specific work sites, i.e. climbing stairs, extended periods of standing, etc.

Other Requirements
  • Able to exercise good judgment and discretion in handling confidential information.
  • Valid driver's license.
