Objective of the Position: To facilitate the efficient functioning of client services and client flow-through, including answering phones and scheduling appointments, especially when volunteers are not available.

Reports to: Center Director

Supervises: Volunteers

Status: Part-time, hourly non-exempt

Scheduled Hours:

Mondays: 8:30 am - 3:30 pm

Tuesdays: 10:30 am - 7:30 pm

Thursdays: 10:30 am - 6:30 pm

Education & Experience: High school diploma or equivalent required; 1 to 2 years office experience preferred

Skills: Excellent communication skills, detail-oriented, organized, problem-solving, proficient in Microsoft Office, and general knowledge of computer systems

Qualifications:

  • Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Lord and Savior
  • Exhibit a strong commitment and dedication to the pro-life position
  • Agree with and be willing to uphold the Statement of Principle, Statement of Faith, and the policies and procedures of Hope Rising
  • Be able to respect and keep information confidential
  • Complete the volunteer training and position orientation
  • Exhibit skills in interpersonal communication and problem-solving
  • Assist in providing spiritual leadership, discipleship, and support to volunteers
  • Be able to carry out responsibilities with little or no supervision
  • Maintain a spirit of cooperation and servanthood
  • Ability to maintain flexible hours and act in the Center Director’s absence


Essential Functions:

  • Assure that each shift begins with prayer
  • Work in cooperation with volunteers to answer phones, and effectively describe our services and options to clients, especially the at-risk clients
  • Greet clients, send appropriate forms, and facilitate client flow-through
  • Turn on phone lines and roll phones over
  • Send appointment reminders through the Center database
  • Be able to meet with and intake follow-up clients when volunteers are not available
  • Work in cooperation with volunteers to maintain a supply of client forms
  • Assist the Center Director with performing other office administrative duties such as:
    • Listen to messages on the answering machine and take appropriate action
    • Schedule and update client schedule (eKyros)
    • Follow-up on calls to at-risk clients
    • Record daily statistics
    • Support and assist volunteers
    • Work in conjunction with the Center Director or Director of Client Support Services to maintain office supplies and educational brochures
    • Coordinate volunteers’ schedules in the Center Director’s absence
  • Other duties as requested by the Center Director or the Executive Director

Resource Responsibilities at Xenia, Huber Heights, and N Dayton Centers:

  • Handle incoming new and used donations
  • Fill out donation forms
  • Help unload cars as needed
  • Sort through used donations, match outfits, launder donations, hang outfits, and put away other items
  • Clean, tag and put away equipment
  • Price and distribute new items
  • Check the internet for recall information on all equipment
  • Deliver or coordinate pickup of some donations to another local charity
  • Distribute donations
  • When an item (i.e., cribs, car seats, etc.) is in short supply, inform the Center Director, Director of Client Support Services, other Centers, and other organizations in need
  • Keep donations, clothing, equipment, maternity clothes, and baby store rooms well-organized

  • Read and interpret detailed specifications
  • Ability to push, pull, lift, move, and/or carry up to 25 lbs.
