Job Summary

The Office & Program Coordinator is the face of the Student Affairs Office in the College of Nursing. Your desk will be the first stop for visitors, students, and employees to ask questions or get guidance. You will work closely with the Director and Associate Director of the Student Affairs Office. This position needs a people person; someone who is friendly and welcoming. You should also be able to be comfortable handling emergencies in a timely and effective manner, while streamlining office operations. This position is mostly self0directed and will entail a variety of tasks and projects.

The Student Affairs and Academic Operations Team supports over 2000+ pre-nursing and nursing students at the University of Utah. We are looking for a dynamic, collaborative individual to provide day-to-day support for our office and staff.

Responsibilities

Administrative Support:

  • Handles the administrative matters regarding day-to-day operations and procedures of the Student Affairs & Academic Operations Office within the College of Nursing.

  • Receiving Visitors by greeting, directing, and advising them appropriately.

  • Answer, screen and forward incoming phone calls

  • Receive and sort daily mail and packages

  • Inventory, order supplies, and maintain equipment in office and kitchen area

  • Serve as first point of contact for Student Affairs Team.

  • Manage Office events/recruitment calendars.

  • Unlock/lock doors on the second floor.

  • Work with building manager for anything involving facilities, cleaning, and keys (varies).

  • Coordinate and maintenance of a clean and efficient office environment by helping organize the office suite, storage space, phones, and office equipment.

  • Serves on various college committees

Budget procurement management:

  • Track and categorize Student Affairs spending

  • Re-allocate purchasing card, u-shop, keep all receipts and documents for auditing.

  • Support and set-up office travel when needed.

  • Work with Director and Associate Director to create consistent process budget/financial processes internal

Supervise Student Employees:

  • Train and supervise work-study student(s) ensure coverage

  • Schedule and delegate assignments and projects as appropriate.

  • Address student personnel needs, this may include weekly meetings with them to monitor progress on assignments.

College Student Council Advisor ( CSC ) :

  • Meet regularly with CSC leadership to build/maintain relationship

  • Attend CSC monthly meetings

  • Support Leadership and professional development opportunities

  • Ensure University policies and regulations are being followed

  • Track spending of council’s annual budget and expenses. Support purchasing needs.

Student Event Management

  • Lead contact for all Student Affairs events including Orientation, Lamp of Learning, Graduation

  • Coordinate with appropriate Program Manager

  • Reserve rooms/spaces

  • Order catering needs and other supplies required

  • Send electronic invitations and communication as needed

Demonstrates initiative, flexibility, enthusiasm, positive attitude, and teamwork.

Minimum Qualifications

Bachelor’s degree (or equivalency) in a related field plus one year directly related experience or equivalency. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor’s degree = 4 years of directly related work experience.)
