Job summary

The Salvation Army in Cincinnati, OH is seeking an Office Aide/Receptionist for Building A & B. This part-time role (29 hours) reports to the COS/Administrator and supports front desk operations, tenant interactions, and rent collection.

You will schedule appointments, maintain tenant files, and assist with verification documentation for HUD programs. Ideal candidates have a secondary education, strong Excel/Microsoft Office skills, excellent phone manners, and a flexible, confidential approach

Qualifications

  • Completion of a secondary education.
  • Training or work experience which shows basic knowledge of office practices and procedures.
  • Must be bendable (flexible) to changing tasks during emergencies.
  • Knowledge of HUD, HOME and LIHTC programs is a plus but not required.
  • Strong computer skills with Excel and Microsoft Office.
  • Excellent telephone skills.
  • Must be safety conscious.
  • Ability to adapt tasks quickly as emergencies require.
  • Must maintain confidentiality of tenant information.

Responsibilities

  • Answer all telephone calls and greet tenants and visitors at the front desk.
  • Direct deliveries to apartments and perform clerical duties (copying, filing, faxing, emailing, scanning).
  • Receive monthly rents and verify against rent roll for accuracy.
  • Schedule recertification and other appointments as needed.
  • Maintain tenant files with HUD, HOME and LIHTC information.
  • Assist tenants with complaints and maintain an up-to-date contact list.
  • Respond to emergency alarms during office hours with maintenance support.
  • Assist in collecting third party verification forms for certifications and file appropriately.
  • Perform other duties as assigned by COS/Administrator.

Overview

TITLE: Office Aide/Receptionist - Building A & BDEPARTMENT: Catherine Booth Residence REPORTS TO: COS/Administrator SUPERVISES: NIA STATUS: Part time (29 hours) Non-Exempt SCHEDULE: Monday through Thursday 9:00 am - 3 :30 pm, Friday 9:00 am-2:30 pm FUNCTION: The primaryresponsibility of the Office Aide/Receptionist is to answer all telephone calls, greet tenants and visitors at the front desk, receive monthly rents. Other duties included but are not limited to: assessing tenant concerns, scheduling recertification appointments/other appointments as necessary; other clerical duties as assigned. The Office Aide/Receptionist will also assist the COS in the collection of third party verifications and receipt of the same in preparation for the certification process and file the completed information in the corresponding tenant files.

Responsibilities
  1. Answer all telephone calls, greet all tenants and visitors. Direct delivery personnel to corresponding apartments for deliveries if needed.
  2. Perform clerical duties including copying, filing, faxing, emailing, scanning of documents. File completed Work Orders once received.
  3. Receive Monthly Rents and check the same against the Monthly Rent Roll for accuracy.
  4. Schedule Recertification Appointments as given by Administrator or COS.
  5. Maintain individual tenant files with information pertaining to HUD, HOME and LII-ITC Programs.
  6. Assist tenants with complaints/completing Complaint Form. Maintain up to date tenant phone list by alphabetical and numerical.
  7. Respond to all emergency alarms during office hours with the assistance of maintenance.
  8. Assist COS/Administrator in the collection/receipt of third party verification forms for all certifications and place in corresponding tenant files.
  9. Perform other duties as assigned by COS/Administrator
Qualifications

  5. Willingness to continue to learn of certification process for above housing programs

  11. Must be polite a□d courteous to tenants, tenant family and visitors
