The Wellesley Free Library is seeking a fun, flexible and fearless full-time (35 hours) Office Administrator. The Office Administrator performs a variety of administrative, secretarial, clerical and bookkeeping tasks to ensure the smooth and efficient operation of the Wellesley Free Library’s (WFL) administrative office. The incumbent also provides administrative support to all WFL departments.
Reporting to the Library Director and working under the Administrative Support Manager, the Office Administrator’s primary responsibilities are developing and refining office routines, reserving and managing payments for meeting rooms, assisting with processing payroll and accounts payable, assisting the Director, and independently carrying out assignments to completion. The incumbent informs the Library Director and Administrative Support Manager of matters requiring their attention, and anticipates and accomplishes office tasks with a minimum of supervision. The incumbent also interacts with the public, edits documents for publication, takes minutes at Board of Library Trustee meetings, safeguards confidential materials and information, and exercises independent judgment.
Minimum requirements: Associate’s Degree or Certificate in Office Administration, Business Administration or related field; two to five years’ administrative experience; excellent computer skills including word processing, Publisher, spreadsheets, databases, and e-mail and be adept at learning additional software applications; excellent oral, written communication and interpersonal skills; ability to work independently, meet deadlines, and prioritize workflow; strong conflict resolution and problem solving skills; ability to consistently work calmly, diplomatically and accurately, even in high pressure situations; ability to adapt quickly and easily to new procedures and practices in a continually evolving environment.
Starting salary is $63,337 with excellent benefits including health and dental insurance, vacation and sick time, and retirement plan.
