Job summary

Addison Group is seeking an Office Administrator for a contract-to-hire, fully on-site role in Nashville. The position supports the corporate office, coordinates vendors, handles documentation, payroll-related tasks, and day-to-day operations.

The ideal candidate is organized, reliable, and able to wear multiple hats while supporting a small team in a collaborative environment. On-site schedule is Monday–Friday, 8:00 AM–5:00 PM.

Qualifications

  • High school diploma or equivalent; additional education is a plus.
  • 2+ years of office administration or related experience preferred.
  • Proficiency with Microsoft Excel and data entry.
  • Working knowledge of Microsoft Outlook and Adobe applications.
  • Strong organizational skills and attention to detail.
  • Professional and friendly communication style.
  • Ability to work independently while supporting a small team.
  • Comfortable managing multiple tasks and shifting priorities.
  • Reliable, proactive, and take ownership of responsibilities.

Responsibilities

  • Provide hands-on administrative support across the corporate office.
  • Assist with daily office needs, vendor communication, and documentation.
  • Support employee-related tasks and special projects.
  • Maintain organized filing systems, electronic and physical.
  • Coordinate errands, meals, shipping, and mail.
  • Process payroll-related checks and vendor documentation (W-9s).
  • Communicate with vendors and coordinate services and deliveries.
  • Support new location/store opening activities.
  • Assist other departments with administrative projects as needed.
  • Ensure important documents and resources are current and accessible.
  • Identify tasks needing attention and adapt as priorities shift.

Our client is a growing organization with a small corporate office and collaborative team environment. They are adding an Office Administrator to provide additional administrative support and help keep day-to-day office operations organized and running smoothly.

Job Description

The Office Administrator will provide hands-on administrative support across the corporate office, assisting with daily office needs, vendor communication, documentation, employee-related tasks, and special projects. The ideal candidate is organized, dependable, comfortable wearing multiple hats, and able to jump in wherever support is needed.

Key Responsibilities
  • Manage routine administrative tasks and help keep daily office operations organized.
  • Monitor and send email reminders, follow-ups, and other internal communications.
  • Coordinate office-related errands, including meal orders, pickups, shipping, and mail.
  • Maintain organized electronic and physical filing systems.
  • Purchase and distribute gift cards and assist with other employee or office needs.
  • Communicate with vendors and help coordinate services, deliveries, and other business requests.
  • Provide administrative assistance related to new location and store openings.
  • Track and assist with the processing of outstanding or uncashed payroll checks.
  • Collect, organize, and maintain vendor documentation, including W-9 forms.
  • Assist other departments with administrative projects and general office needs as requested.
  • Help ensure important documents, information, and office resources are kept current and accessible.
  • Take initiative in identifying tasks that need attention and provide support where priorities shift.
Qualifications
  • High school diploma or equivalent required; additional education is a plus.
  • 2+ years of office administration, administrative support, or related experience preferred.
  • Proficiency with Microsoft Excel, including basic spreadsheet functions and data entry.
  • Working knowledge of Microsoft Outlook and Adobe applications.
  • Comfortable learning and using internal communication platforms.
  • Strong organizational skills and attention to detail.

  • Ability to work independently while also supporting a small team.
