Position: Office Administrator
Job Description:
The Office Administrator position will play an integral role in the organizational strength of our company. The Office Administrator will provide administrative support to all managers. These responsibilities may include clerical duties, filing, answering phone calls, responding to emails, assisting in driver training, and onboarding documents for inexperienced drivers. Qualified candidates will have a strong ability to multi-task and a friendly demeanor.
Core Responsibilities & Duties:
- Analyze and organize office operations and procedures such as information management, filing systems, supply requisitions, and other driver services
- Oversee office staff functions, including office supply levels, equipment maintenance, procedures manuals, forms, and direct cross-training of staff
- Maximize office productivity through proficient use of appropriate software applications
- Establish uniform correspondence procedures and style practices
- Create and maintain filing systems for warehouse records, such as scheduling information, consignee records, shipping/receiving records, and customer files
- Maintain contact with customers, ensuring a prominent level of customer satisfaction
- Complete other duties as requested and ability to work some extended hours, including nights and weekends, as needed
- Perform data entry and document processing with a high level of accuracy
- Handle billing and collections in a timely and professional manner
- Communicate promptly and effectively via phone and email with customers and internal teams
- Collaborate and communicate with other team members to ensure seamless office operations
- Work across multiple programs and systems simultaneously
- Support customs-related documentation and processes as needed
- Apply knowledge of ocean freight/container logistics when applicable
- Demonstrate flexibility with work schedule to support business needs
- Uphold promptness and maintain excellent attendance
- Show keen attention to detail in all tasks
- Cross-train and assist in various departments as needed
Qualifications:
- Strong customer service skills with a focus on performance recognition
- Ability to establish credibility and be decisive, while supporting customer preferences and priorities
- Proficiency in written and verbal communication
- Strong technical skills (i.e., Microsoft Word, Excel, PowerPoint, web-based applications, etc.)
- Excellent interpersonal skills, both written and oral
- Ability to work independently and prioritize multiple objectives in a fast-paced environment while delivering quality outcomes
- Experience working in a transportation office environment is a plus
- Knowledge of customs processes and documentation is preferred
- Comfortability with communication across various platforms (email, phone, in-person)
- Ability to manage both low- and high-volume multitasking with composure
- Experience with AS400 operating systems is a plus
- Make decisions and/or final recommendations that affect multiple departments
Skills:
- Ideal candidate will possess a “can do” attitude with a “will do” work ethic
- Must have the ability to work in a fast-paced environment
- Strong verbal and written communication skills
- Experience with billing, collections, and data entry
- Familiarity with container/ocean freight processes is a plus
- Ability to work across multiple programs simultaneously
- Excellent attention to detail and organizational skills
- Ability to cross-train in multiple departments and adapt to changing business needs
