Job description

Summary:

The office administrator provides reception, administrative and clerical support for our nonprofit organization to maintain efficient communications between public callers, vendors, employees, and visitors. The office administrator is accountable for a variety of duties that support various functions ranging from Human Resources, Finance, IT, Development and Conservation Programs . The ideal candidate is willing to roll up their sleeves, work as part of a team, and execute the vision of the organization through administrative functions.

Shift: Monday - Friday 8:30am - 5:00pm

Essential Functions:

  • Presents a professional and welcoming experience to all who visit the organization.
  • Handle all incoming calls and greet visitors, vendors, internal clients, and job candidates to the organization’s office and display world class hospitality and guest service to each group.
  • Performs general administrative duties such as mailing/shipping of materials, places and facilitates event food orders, maintains legal postings in the facility, and creates/publishes needed employee communications.
  • Provides technical support for company equipment and assists where necessary and coordinates with the IT vendor for advanced needs.
  • Responsible for all IT related onboarding and offboarding processes.
  • Provides basic trouble-shooting of common technical problems presented by copiers, printers, laptops, and AV/audio projection equipment; provides timely technical support to staff and visitors.
  • Procures supplies which often include but are not limited to office, janitorial, marketing promotions, break room, and work-related equipment/handling supplies.
  • Responsible for all general office administration duties to include but not limited to: mail, assistance with accounts payable, assistance with accounts receivable, manage parking and parking relationship, manage facility contracts, general office operations, file management, cleanliness and organization of office, and assisting Human Resources with onboarding and offboarding employees.
  • Maintains records, verifies accuracy, and generates miscellaneous reports. Performs a variety of clerical duties to assist in supporting the organization and employees.
  • Responsible for receivables management to include but not limited to: organizing, documenting, correlating with A/P, gift recording and depositing checks.
  • Maintains office equipment in good working order, responsible for tracking and inventorying all IT equipment, and maintain and supervise office supply inventory.
  • Other duties as assigned.

Competencies:

  • Extremely Proficient with Microsoft Office Productivity Tools.
  • Familiar with telecommunication platforms (Zoom, Teams, OWL, Polycom, etc.)
  • Prior experience in customer service or a work environment performing administrative, clerical, and receptionist duties.
  • Anticipates and provides exceptional customer service.
  • Takes initiative to proactively address issues before they become urgent.
  • Handles sensitive information in a confidential manner.

Required Education and Experience:

  • High school diploma required with 3-5 years of office management experience or Associates Degree in Business.

Preferred Education and Experience:

  • Experience supporting and interacting with Executive and Board leadership.

The position operates in a professional office environment located in Charleston, SC.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands, and climb stairs. The employee must occasionally lift and/or move up to 25 pounds.
