Job summary

Theradaptive is seeking an experienced Office Administrator to ensure smooth operations at our Frederick, MD headquarters. You will manage reception, mail, supplies, and the corporate phone system while supporting HR, purchasing, and facilities.

You will coordinate quarterly SLT meetings, assist executives with travel and correspondence, maintain clean common spaces, and manage software licenses and vendor records.

Qualifications

  • Bachelor’s degree preferred; strong relevant experience considered in lieu of degree.
  • 2-4 years of experience in Office Administration or similar role.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Highly organized with strong attention to detail and multitasking abilities.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Basic IT troubleshooting and familiarity with office equipment.
  • Experience with desktop publishing/graphic design preferred.
  • Experience managing a corporate phone system preferred.

Responsibilities

  • Oversee daily office administration functions including reception, mail, packages, and phone handling.
  • Procure and stock office and kitchen supplies.
  • Provide HR support by scheduling interviews and staff events.
  • Lead Purchaser: place orders for general office and lab supplies; manage vendor records.
  • Coordinate quarterly Senior Leadership Team meetings (agenda, catering, travel).
  • Assist executives with correspondence and travel arrangements.
  • Maintain clean and orderly common spaces (kitchen, reception, conference rooms).
  • Manage THX Account License Database and assign licenses by role.
  • Support Facilities with requests and troubleshooting.
  • Assist with special projects as needed.

POSITION SUMMARY:

We seek an experienced Office Administrator who will play a crucial role in ensuring the smooth operation of the office by managing various administrative and support functions.This position will be responsible for our reception area, assisting with multiple office activities and providing critical support for team members and functional departments, with particular focus on Purchasing, HR, and Facilities. The ideal candidate will be energetic, organized, proactive, and adept at multitasking to promote an efficient, professional, and positive office environment.

RESPONSIBILITIES:
  • Oversee daily office administrative functions including receiving guests, mail and packages, facilitating staff lunches, receiving/routing phone calls, and assisting with the administration of the corporate phone system.
  • Ensure that office supplies are appropriately stocked, including sourcing and procuring office and kitchen supplies.
  • Provide administrative support to the HR department by scheduling interviews, booking travel for candidates, and helping with planning, purchasing, and execution of staff events.
  • Serve as lead Purchaser.Place orders upon request for general office and lab/technical supplies.Partner with Accounting to set up vendors and maintain audit-ready records.
  • Coordinate with senior management to plan, coordinate, and administer quarterly Senior Leadership Team (SLT) meetings, including agenda development, catering, and travel logistics.
  • Assist executive team and visitors by facilitating correspondence and booking of flight, lodging, and meals.
  • Primary responsibility for maintaining clean and orderly administrative and common spaces (kitchen/lunchroom, reception, and conference rooms).
  • Maintain and administer the THX Account License Database, including regularly updating user records, tracking license availability and usage, and accurately assigning or reassigning software licenses to employees based on role and business needs.
  • Support Facilities Coordinator to track and address facilities-related requests and troubleshooting.
  • Primary point of contact on maintenance and repair of office equipment including audiovisual devices and printers.
  • Perform additional administrative tasks and assist with special projects as needed.
QUALIFICATIONS:
  • Bachelor’s degree preferred; candidates with significant relevant work experience in lieu of a degree will be considered.
  • 2-4 years of experience as an Office Administrator, Administrative Assistant, or similar role.
  • Demonstrated commitment to promoting positive, healthy corporate culture and environment.
  • Excellent communication and interpersonal skills required.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Highly organized with strong attention to detail, and multitasking and prioritization skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Basic IT troubleshooting abilities and familiarity with office equipment and printers preferred.
  • Experience with desktop publishing and/or graphic designed preferred.
  • Experience managing a corporate phone system preferred.
COMPENSATION RANGE:

$50,000 - $66,000 annually, based on qualifications and level.

POSITION LOCATION:

Full-time On-site at Theradaptive corporate headquarters and laboratory in Frederick, MD.
