Job Overview

The Office Administrator, reporting to the Office Manager, manages our Durham office administration and procedures to ensure a smooth running, well-organized office environment. The successful candidate is energetic, versatile, detail-oriented, professional, can wear multiple hats, and is experienced in handling a wide range of administrative duties. They should be able to work independently with little or no supervision. This is a part-time on-site role with work hours of Tuesday, Wednesday, and Thursday from 8am to 2pm or 8am to 5pm, though occasional office events, meetings, repairs, etc., may require earlier start or later departure times. The position is hourly and not benefit-eligible.

This position will be based in Durham, NC. (Part-time with work hours of 8am-2pm or 8am-5pm Tuesday – Thursday)

Responsibilities and Duties
  1. Ensure office operations and procedures are streamlined and organized, with proper execution and monitoring of clerical functions.
  2. Partner with Human Resources for smooth onboarding, including assigning parking passes, office badges, etc.
  3. Coordinate scheduling of on-site candidate interviews and travel arrangements to ensure a positive candidate experience.
  4. Manage business safety programs in coordination with property management, ensuring safety items are in place and emergency response processes are streamlined. Maintain OSHA logs and track workplace issues.
  5. Handle maintenance, mailing, shipping, supplies, equipment, bills, and daily tasks.
  6. Assist with planning Board meetings, travel arrangements, and logistics to ensure smooth operations.
  7. Support visitors, manage visitor access, and coordinate meeting setups. Answer and direct calls on the main phone line.
  8. Manage relationships with vendors, service providers, and landlords, ensuring timely invoicing and payments.
  9. Assist in planning and executing large in-office meetings and events, managing conference room technology.
  10. Coordinate team lunches, including setup and cleanup.
  11. Foster a fun, collaborative office culture that reflects organizational values.
Education and Required Experience
  1. Proven office management or executive assistant experience.
  2. Bachelor's degree or equivalent experience.
  3. Knowledge of office management responsibilities, systems, procedures, and emergency protocols.
  4. Excellent time management, multitasking, and prioritization skills.
  5. High attention to detail and problem-solving skills.
  6. Excellent communication skills, both written and verbal.
  7. Experience working with internal and external leadership.
  8. Self-motivated and customer service-oriented.
  9. Strong organizational and planning skills.
  10. Proficiency in Microsoft Office, PowerPoint, Excel, and IT support for meetings and conference setups.
  11. Ability to work effectively with diverse people in an office environment.
Additional Requirements

Candidates must be able to perform essential functions, including operating at a computer for long periods and occasional light lifting. The role is sedentary with some physical activity.
