The Assistant to the Deans plays a critical role in the Academic and Student Affairs (ASA) Administration unit by providing administrative and operational support to the ASA deans in a wide variety of areas including: maintenance of the deans’ calendars; meeting coordination; correspondence and communication; faculty hiring, appraisal, and workload management; financial transactions; contracts; and special projects. This position serves as a resource to both internal and external stakeholders and works with a high degree of confidentiality. This position exercises independent judgment in managing priorities, resolving administrative issues, and supporting the day-to-day operations of the Academic and Student Affairs unit.
This position will support ASA deans at both campuses and the home campus will be the Rapids campus. Anoka-Ramsey currently operates in a hybrid work environment, which includes the option of some telework days. The hiring manager and the successful candidate will work together to determine a schedule that meets department needs.
Minimum Qualifications
- Word processing skills for preparing correspondence, financial statements, reports, and other documents utilizing correct spelling, grammar and punctuation.
- Customer service skills to collaborate and communicate professionally, tactfully, and discreetly with faculty, staff, and administration regarding complex issues while making independent decisions regarding workload priorities.
- Spreadsheet skills to develop and modify electronic spreadsheets and to compile, store and retrieve data to prepare a variety of reports using software such as Microsoft Excel.
- Math skills to calculate and verify totals on reports, forms, requisitions, or bills, using a calculator, computer, and/or other tools
Preferred Qualifications
- Self-motivating, organizational, and time-management skills including ability to set priorities, anticipate needs, and work under the pressure of deadlines with accuracy and a high attention to detail.
- Working knowledge of Microsoft Office 365 applications (such as Outlook, Teams, OneDrive, Word, Excel, SharePoint, Power Point, and Forms).
- Ability to apply policies, procedures, and guidelines to resolve administrative concerns.
- Ability to make recommendations for changes and improvements to college processes as they affect Academic and Student Affairs Administration functions.
- Demonstrated problem-solving skills, including the ability to analyze situations, identify appropriate solutions, take independent action within established guidelines, and determine when issues should be escalated to a dean or other college leader.
- Experience working with confidential information and understanding the importance of maintaining confidentiality of private information.
- Demonstrated commitment and success working in a diverse, multi-cultural, and multiracial community.
