We currently seek an organized and proactive Office & Administrative Assistant responsible for maintaining an organized and efficient office environment across our NYC headquarters. This role includes managing office supplies, vendor relationships, and maintenance requests, as well as providing executive support. The ideal candidate is proactive, detail-oriented, physically capable of light manual labor, and able to balance administrative and executive support tasks. The role reports to the Senior Executive Assistant and collaborates closely with the CEO, Creative Director/Founder, and office staff.

This role is based in our New York Headquarters 5 days a week.

Key Responsibilities:

  • Manage office supply inventory for New York and New Orleans (virtually), proactively tracking needs and placing orders as needed.
  • Maintain office cleanliness and organization, ensuring high standards are met. Coordinate with maintenance and vendors to report and repair office needs.
  • Serve as the ‘gate keeper’ to the office, greeting, coordinating and directing visitors as needed.
  • Proactively manage and coordinate executive calendars, ensuring alignment of priorities across professional and personal schedules. Calendar management for CEO as needed.
  • Maintain a high level of discretion and professionalism while managing sensitive information and high-stakes responsibilities.
  • Handle day-to-day administrative tasks, including expense reporting, email and Slack communication, and creating and maintaining internal documents.
  • Plan and execute executive travel arrangements and itineraries for both business and personal purposes.
  • Assist in the oversight of three studio apartments used by KREWE (two in New Orleans, one in NYC), including scheduling stays for employees and candidates
  • Serve as the point of contact for employee questions regarding office logistics and SOPs (e.g., printer use, kitchen supplies, coffee machine). Provide hand-on training when needed.
  • Address human resources questions as required, escalating to the Human Resources Manager and Senior Director of People as necessary.
  • Work closely with the Senior EA to document and communicate office processes and updates.
  • Serve as the bridge between New York and New Orleans headquarters, creating greater cultural alignment.
  • Perform minor physical tasks such as changing lightbulbs and moving furniture.
  • Provide additional remote assistance as needed and travel to New Orleans on occassion.

Requirements:

  • Previous experience in office management, facilities coordination, or administrative support.
  • Strong organizational and problem-solving skills, with the ability to prioritize multiple tasks.
  • Comfortable performing minor manual tasks and light physical labor, with the ability to lift 50 lbs.
  • Proactive and self-sufficient with strong attention to detail.
  • Excellent communication and interpersonal skills, with the ability to interface effectively with stakeholders at all levels..
  • Proficiency in G-Suite, Slack, Zoom, and other communication tools.
  • Proven ability to juggle multiple priorities with a calm and resourceful approach.
  • A commitment to discretion, confidentiality, and professionalism in all aspects of work.
  • A passion for detail-oriented execution.

Salary (for New York only): Up to $70,000 annually based on experience and qualifications.

This reflects the base salary for this position. Compensation may vary based on factors such as skills, experience, certifications, and business needs. In addition to base pay, KREWE offers annual bonuses, a comprehensive benefits package, paid time off, and employee discounts.
