Job summary

Scentbird is seeking a Project Coordinator to join the Operations Department in Somerset, NJ, reporting to the Associate Director of NPD. You will support NPD projects across brands, coordinating product samples and tracking timelines for creative shoots and marketing deliverables.

You will work with project managers, creative, and marketing to keep tasks on track, maintaining accurate timelines and critical information for a successful product launch.

Qualifications

• 1-3+ years in project management, product development, packaging, or supply chain within beauty or CPG.
• Proven ability to lead cross-functional projects and deliver results in a deadline-driven environment.
• Strong organizational and project management skills with high attention to detail.
• Proficiency in Microsoft Excel / Google Sheets and project management tools (e.g., Smartsheet, JIRA, or similar).
• Excellent communication, stakeholder management, and problem-solving skills.

Responsibilities

• Track, request, and coordinate physical product samples across the launch cycle and ensure stakeholders receive samples on schedule.
• Maintain a sample inventory/log and flag missing, delayed, or damaged samples.
• Build and manage timelines for creative campaign shoots, coordinating with creative, marketing, and product development on shoot dates and assets.
• Track marketing deliverables tied to campaign launches against the master launch timeline and flag bottlenecks.
• Serve as a connective point between NPD, creative, and marketing for alignment with the launch schedule.
• Coordinate meetings, track project progress and provide status updates to the project team.
• Ensure project documentation is accurate, up-to-date and accessible to stakeholders.
• Attend cross-functional meetings to update status and raise issues.
