Job summary

Scion Staffing has been engaged to conduct a search for a Nonprofit Office and Events Coordinator for a philanthropic foundation in Palo Alto. This full-time, onsite role combines reception, office operations, event coordination, and administrative support to create a polished workplace experience for staff and partners.

Qualifications

  • Experience in office operations, workplace services, event planning and execution, and administrative support.
  • Ability to coordinate events, manage priorities, and deliver high levels of service in a dynamic workplace.
  • Proficiency with Outlook, Word, Excel, PowerPoint and collaboration tools; familiarity with Teams/Concur is a plus.

Responsibilities

  • Serve as the primary point of contact for staff, visitors, and vendors, overseeing reception and day-to-day needs.
  • Maintain a welcoming office environment including café, kitchen, catering, conference rooms, and workplace improvements.
  • Coordinate internal and external events, meetings, and staff gatherings with timelines, vendors, and logistics.
  • Partner with stakeholders to anticipate needs, manage calendars, budgets, and ensure seamless experiences.
  • Provide administrative support to Communications, manage inboxes, contracts, invoices, and file systems.
  • Offer backup admin and facilities support, assist executives, and support Board meeting logistics.

Scion Staffing has been engaged to conduct a search for a Nonprofit Office and Events Coordinator for a highly respected philanthropic foundation dedicated to creating meaningful and lasting impact through environmental conservation, scientific discovery, and community investment. This is a full-time, onsite position based in Palo Alto, CA, working Monday through Friday.

POSITION OVERVIEW

The Nonprofit Office and Events Coordinator will play a central role in creating a welcoming, polished, and highly organized workplace experience for staff, visitors, and partners. This position combines reception and office operations, event coordination, and administrative support while serving as a key resource across the organization. The ideal candidate is proactive, service-oriented, detail-focused, and energized by creating exceptional experiences and keeping a dynamic office running smoothly.

RESPONSIBILITIES
  • Serve as the primary point of contact for staff, visitors, and vendors, overseeing reception, visitor arrivals, incoming calls, mail, deliveries, shared spaces, office supplies, and day-to-day workplace needs.
  • Maintain a welcoming and hospitality-driven office environment, including café and kitchen operations, food and beverage offerings, catering, conference rooms, seasonal touches, and employee-focused workplace enhancements.
  • Coordinate and execute internal and external events, meetings, convenings, and staff gatherings, managing timelines, vendors, catering, materials, setup, breakdown, and onsite logistics.
  • Partner with internal stakeholders to anticipate event and operational needs, identify solutions, manage calendars and logistics, and ensure a seamless experience that aligns with organizational priorities and budgets.
  • Provide administrative and project support to the Communications team, including managing shared inboxes, contracts, invoices, file systems, team meetings, book club activities, and internal communications.
  • Provide backup administrative and facilities support as needed, including assisting executive and administrative colleagues, coordinating building-related needs, supporting Board meeting logistics, and contributing to cross-functional office initiatives.
QUALIFICATIONS
  • Strong background in office operations, workplace services, event planning and execution, administrative support, or a related environment.
  • Demonstrated ability to coordinate events, manage competing priorities, and consistently deliver a high level of service in a dynamic workplace.
  • Strong proficiency with workplace technology and tools such as Outlook, Word, Excel, PowerPoint, Box, Zoom, and similar platforms; familiarity with Microsoft Teams and Concur is a plus.
  • Excellent written and verbal communication skills with a professional, welcoming approach and the discretion to appropriately handle confidential or sensitive information.
  • Highly organized, proactive, resourceful, and collaborative, with strong attention to detail and the ability to anticipate needs, take ownership, and adapt as priorities evolve.
COMPENSATION AND BENEFITS

This position offers an annual salary of $90,000 to $115,000, depending on experience, skills, and other job-related factors. The comprehensive benefits package includes employer-paid medical, dental, and vision options for employees and dependents; mental wellness resources; paid parental leave; employer-paid disability and life insurance; flexible spending accounts; 6 weeks of paid time off; 10 paid holidays; and a 401(k) retirement plan with a foundation contribution of up to 10%.
