Sterling Engineering is seeking an experienced Documentation Specialist to join our NPI team. The role focuses on documentation, change management, and process coordination across departments.

Responsibilities include developing and maintaining product documentation, BOMs in ERP, and coordinating with purchasing, production, and design to ensure accuracy and compliance. A strong attention to detail and the ability to work independently are essential, with German language skills considered a plus.

Qualifications

  • Create and maintain product BOMs on the ERP system for relevant markets.
  • Collaborate with graphic designers to ensure packaging content is accurate and compliant.
  • Liaise with sales offices to coordinate the review and validation of documentation.
  • Assess change requests, determine validity and establish lead times.
  • Coordinate and control the implementation of changes to product documentation.
  • Liaise with Purchasing regarding delivery timelines for new and updated documentation.
  • Document and communicate product changes to internal and external stakeholders.
  • Support Production with introduction and understanding of product changes.
  • Provide day-to-day support for documentation-related queries.

Job description

We are currently recruiting for an experienced and detail-oriented Documentation Specialist to join an established NPI team within a leading manufacturing and technology organisation in Shannon. This is an excellent opportunity for someone who enjoys working across multiple departments and has a strong interest in product documentation, compliance, change management and process coordination.

Key Responsibilities
  • Develop and maintain product documentation in line with relevant product standards, local legislation and market requirements.
  • Prepare and manage labels, packaging, manuals, datasheets and other product documentation.
  • Create and maintain product Bills of Materials (BOMs) on the ERP system for relevant markets.
  • Collaborate with graphic designers to ensure packaging content is accurate and compliant.
  • Liaise with sales offices to coordinate the review and validation of product documentation.
  • Assess change requests, determine validity and establish appropriate lead times.
  • Coordinate and control the implementation of changes relating to product documentation.
  • Liaise with Purchasing regarding delivery timelines for new and updated documentation.
  • Document and communicate product changes to relevant internal and external stakeholders.
  • Support Production teams with the introduction and understanding of product changes.
  • Provide day-to-day support and assistance to Production regarding documentation-related queries.
The Ideal Candidate
  • A Bachelor of Business Studies (BBS), Business & Law (BBL) or a relevant equivalent qualification.
  • Excellent written and verbal English communication skills.
  • Strong IT skills, particularly with Microsoft Office, Teams and web-based systems.
  • Excellent organisational and time-management skills, with the ability to manage multiple priorities.
  • A strong attention to detail and a methodical approach to documentation.
  • The ability to work independently while also contributing effectively within a collaborative team.
  • Strong problem-solving and decision-making skills.
  • A positive, energetic and proactive attitude.
  • A high level of reliability, professionalism and integrity.
  • Previous experience working in a manufacturing, engineering, quality or NPI environment would be an advantage.
  • Fluency in German is highly desirable.
