Job summary

ProTech Medical LLC is seeking an AAC New Orders and Repair Coordinator to join our operations team. The role handles repair and warranty coordination, new device ordering, and coordination with manufacturers and DME providers to ensure timely delivery and setup for patients.

You will generate orders, track shipments, communicate with patients and clinicians, and maintain accurate records in the practice management system. A strong customer service mindset and attention to detail are essential.

Responsibilities

• Repair & warranty coordination – oversee the process from issue identification to return of equipment
• Troubleshoot equipment with patients via telephone or Teams to resolve issues before repair
• Coordinate shipment of equipment to manufacturers for repair or warranty service
• Track equipment through the repair process and ensure timely completion
• Coordinate return of repaired equipment to patients or locations
• Manage repair-related documentation and communications with patients, clinicians, and staff
• Assist with delivery and/or training of patients on equipment as needed
• Coordinate new device purchasing and related orders
• Generate purchase orders and track orders from purchase through delivery
• Coordinate shipment of new devices to locations or patients
• Create shipping labels and handle packing and shipping procedures
• Enter shipment and tracking information into the management software
• Follow up with patients after delivery to ensure proper setup and understanding of equipment
• Serve as a resource for patients with questions after delivery
• Assist with inventory and procurement related to repairs and parts
• Coordinate repair-related purchase orders and required documentation
