Job summary

Penn Medicine's Neurosurgery department at Pennsylvania Hospital is seeking a Surgical Services Associate to support a busy clinical practice. This role coordinates patient activity for outpatient visits and surgeries, triages calls, schedules surgeries and tests, and handles pre-op tasks and billing preparation.

Key responsibilities include managing calendars, processing authorizations, arranging travel when needed, and ensuring timely communications with patients and staff.

Qualifications

  • High school diploma or GED is required.
  • Two+ years of medical office experience or two years of customer service in a healthcare setting.

Responsibilities

  • Greets, screens, schedules and directs patients in a prompt, positive, pleasant, and helpful manner; acts as primary point of contact for assigned patients.
  • Retrieve and process incoming medical records/images, ensure scanning and physician review is completed.
  • Assists attending physician and/or APP with patient relations and scheduling during outpatient office hours.
  • Provides coverage for practice team members during absences and/or staffing shortages.
  • Schedules required procedures and OR for patients at attending physician’s direction.
  • Coordinates all procedures that need to occur prior to scheduling surgery, including pre-operative testing and tests results.
  • Responsible for timely submission and posting of operative cases to the OR grid, and accuracy of information.
  • Process medication refill requests, triage to appropriate staff.
  • Coordinates and schedules cases with medical equipment representatives as required in the OR.
  • Communicates underutilization of OR block time to manager for redistribution.
