Job summary

Nicklaus Children's Health System in the United States Ohio region is seeking an experienced Office Manager to organize and manage operations across our specialty practices. The role focuses on improving efficiency, coordinating staff, and ensuring compliant, high-quality patient care within a busy clinical setting.

You will monitor expenditures, optimize scheduling, support revenue cycle activities, supervise employees, and implement policies with leaders to drive economy and service excellence.

Qualifications

• 4 years of relevant office experience (OR) 1 year of relevant office experience with an Associate's Degree or higher.
• High school education or equivalent preferred.
• Prior Office Manager experience preferred.
• Supervisory experience preferred.
• Decision making and time management skills.
• Excellent verbal and written communication skills.
• Human relations and team building skills.
• Able to handle multiple assignments, set priorities, and meet deadlines.
• Ability to represent department/function in a professional, courteous, and efficient manner.
• Ability to follow complex written or verbal instructions to solve complex problems.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

Responsibilities

• Achieves financial objectives by monitoring expenditures to support the annual budget.
• Optimizes appointment slots on physicians' and other healthcare professionals' appointment books (clinic and/or block utilization when appropriate), manages wait times.
• Oversees day-to-day operations of the specialty practices, ensuring implementation of prescribed activities in accordance with objectives and collaborates with Leaders.
• Supports accounts receivable and accounts payable functions, processes invoices.
• Oversees front-end revenue cycle activities such as scheduling appointments, obtaining authorizations, creating/maintaining medical records, collecting co-pays and balances at time of service.
• Ensures adherence to department policies and procedures with Leader's approval.
• Provides supervision to the operation and ensures the department is properly staffed.
• Leads, coaches, counsels, and evaluates employees; hires and orients new staff; supports growth of reports.
• Ensures staff training and in-service for the team.
• Reconciles and maintains timecards and attendance; ensures compliance with hospital policies.
• Proposes changes to work methods for economy and efficiency; ensures staffing levels across service lines.
• Monitors inventory and handles purchasing as needed; maintains records.
• Maintains personnel records, licenses, and permits; ensures mandates and quality improvements.
