Job summary

Aston Carter is hiring a Payroll Specialist to manage end-to-end payroll for a large multi-state population using IFS and ADP. You will maintain payroll records, handle reconciliations, support audits, and serve as a payroll resource for employees and HR.

Attention to detail and strong Excel skills are essential. The role requires deep knowledge of payroll regulations and accounting principles, with responsibilities including tax filings, GL reconciliation, and journal entries.

Qualifications

• Three+ years of payroll experience in a large corporate environment.
• Extensive knowledge of ADP or similar enterprise payroll software.
• Strong understanding of federal, state, and local payroll taxes and wage laws.
• Advanced Excel skills including formulas, pivots, and VLOOKUP.
• Experience reconciling payroll with general ledger and 941/W-2 filings.
• Ability to work with IFS and ADP for time reporting and payroll processing.
• Detail-oriented with strong data entry and numerical accuracy.

Responsibilities

• Review IFS time data for accuracy and coordinate corrections with supervisors.
• Transfer time data from IFS into ADP for payroll processing.
• Process ADP payroll accurately and on schedule for a large multi-state population.
• Maintain organized payroll tax filings and audit-ready reports.
• Reconcile payroll cash activity with ADP Tax Services reports.
• Respond to employee payroll inquiries promptly and professionally.
• Maintain weekly payroll data spreadsheets and ensure data integrity.
• Process manual checks and special payrolls, including bonuses.
• Calculate new hire and termination pay per policy and regulations.
• Reconcile payroll reports to quarterly 941 filings and W-2s.
• Prepare adjusting journal entries and maintain payroll GL.
• Submit annual workers’ compensation reports to insurers.
• Assist with audits by providing documentation and explanations.
• Stay current on payroll legislation and recommend process improvements.
