Paul Davis Restoration is seeking an Inside Mitigation Project Coordinator for our Shrewsbury office. The role focuses on coordinating mitigation projects, managing communications, setup in the project management system, and ensuring compliance across platforms.

The position requires strong customer service, multi-tasking in a fast-paced environment, and proficiency in Word and Excel. Full-time, in-office hours Monday–Friday 8–5.

Qualifications

• Over 2 years of experience in general office administration or management.
• Experience in the restoration, construction, or insurance industries is preferred.
• Familiarity with project management systems is a plus.
• Strong customer service skills.
• Proficiency in Microsoft Office, with a focus on Word and Excel.
• Self-motivated and proactive.
• Ability to multitask effectively in a fast-paced office setting.
• Excellent written and verbal communication skills.

Responsibilities

• Provide phone coverage at all times.
• Make initial contact for all projects.
• Set up projects within the internal project management system.
• Schedule inspections and equipment pickups.
• Dispatching on new mitigation losses and assign technicians to projects.
• Assist PMs with obtaining work authorizations and certifications.
• Ensure projects are properly linked across relevant systems and platforms.
• Ensure date compliance for customer contact and inspection scheduling.
• Assist PMs with remaining compliance tasks and track progress.
• Request updates from PMs on projects, especially near deadlines.
• Monitor the daily operations report and seek updates for projects on the report.
• Update and manage the project tracking dashboard.
• Sort through and distribute relevant emails to the appropriate PMs.
• Maintain accurate project files and relevant documents.
