Job summary

Unique Vacations, Inc. is seeking a MICE Groups Function Coordinator for our Miami-based, in-house team. The role focuses on coordinating operational outlines, client proposals, and close liaison with resort sales to ensure smooth group functions.

The ideal candidate will manage timelines, travel requirements, and payments for add‑on events, while maintaining up-to-date knowledge of properties and venues. This position emphasizes teamwork and strong organizational skills.

Qualifications

• Minimum high school diploma or equivalent; College degree preferred.
• Minimum of 3 years of related experience.

Responsibilities

• Prepare and distribute operational outlines for meetings and incentive groups at least 60 days prior to arrival.
• Assist clients with menus, décor, and entertainment during proposals.
• Coordinate group bio delivery to resorts after booking and deposit.
• Follow up with clients on location, times, and menu options within two weeks after intro.
• Coordinate with resort sales on locations, times, décor, and other details.
• Schedule conference calls between clients and resort sales teams before arrival.
• Ensure payments for add-on events are billed 60 days before arrival.
• Stay updated on property knowledge and visit resorts annually.
