PRIMARY RESPONSIBILITIES:
- Provide meeting and event planning support for 12-18 meetings throughout the year.
- Coordinate all aspects of the events outside of airline reservations, typically involving 20-30 attendees and lasting 2.5-3 days.
- Meet with organization leaders to understand the purpose of each event, with 95% in-person and 5% hybrid formats.
- Plan and develop programs, agendas, budgets, and services according to customer requirements.
- Manage the drafting of Requests for Proposals (RFPs), including researching hotels and venues, supporting the RFP process, and preparing analysis documents for presentation.
- Review proposals and coordinate final selection with the customer.
- Negotiate and sign contracts with selected conference sites and content providers.
- Create and send online registration websites for attendees to collect hotel and other requirements.
- Work directly with committee chairs to organize on-site meetings and virtual programs via platforms like Zoom.
- Review event bills for accuracy and approve payments.
- Maintain records of event details, including financial information, and conduct post-event evaluations for improvements.
- Manage files related to expenses for group meetings, process bills, and reconcile budgets.
- Perform various administrative duties with less than 5% travel required.
QUALIFICATIONS:
- Degree in hospitality, public relations, management, or a related field is strongly preferred.
- Experience in project management with successful event execution.
- Excellent organizational skills and ability to multitask under pressure.
- Strong communication, interpersonal skills, and meticulous attention to detail.
- Effective time management and financial skills, including budgeting and invoice processing.
- Customer service focus, honesty, integrity, and confidentiality.
- College degree is preferred.
