CBRE is seeking a Meeting & Events Coordinator to support small to mid-sized meetings, conferences, and events. This role requires proactive, highly organized professionals with excellent customer service and communication skills, able to thrive in a fast-paced environment in the Phoenix area.

You will manage logistics, calendars, venue setup, AV readiness, and post-event reconciliation, working closely with hosts, vendors, and internal teams to ensure seamless event execution.

Qualifications

  • Able to lift and rearrange furniture and equipment up to 50 lbs.
  • Authorized to work in the United States without visa sponsorship now or in the future.

  • Serve as the primary contact for meeting and event logistics, including reservations and catering.
  • Manage the master calendar for small to medium event spaces, ensuring accurate scheduling and conflict resolution.
  • Coordinate setup, teardown and furniture reconfiguration for varied layouts.
  • Ensure AV/tech equipment is functional and troubleshoot issues during events.
  • Handle inventory and post-event reporting and financial reconciliation.
  • Communicate event schedules to internal teams and external vendors.

As a CBRE Meeting & Events Coordinator, you will play a pivotal role in the seamless execution of small to medium-sized meetings, conferences, and events. We are seeking a proactive, adaptable, and highly organized professional with exceptional customer service and communication skills who is prepared to thrive in a fast-paced environment.

What You’ll Do
  • Serve as the primary point of contact for meeting and event logistics, including reservations and catering coordination.
  • Manage the master calendar for small to medium-sized event spaces, ensuring accurate scheduling and conflict resolution.
  • Cultivate a hospitable environment for attendees, event hosts, and vendors throughout the event lifecycle.
  • Communicate event schedules effectively to internal teams and external service providers.
  • Oversee conference room standards, including conducting midday refreshes, reconfiguring furniture for varied layouts, and managing indoor and outdoor space transitions.
  • Maintain room readiness by conducting pre-event checks, verifying that technical and audiovisual equipment is fully functional.
  • Troubleshoot basic audio and technical issues during events to ensure minimal disruption.
  • Manage the physical setup and breakdown of events, including the movement of furniture and equipment (up to 50 lbs.) and the removal of food, beverage, and service items.
  • Oversee inventory management for event supplies, food, and beverages.
  • Assist with post-event reporting and financial reconciliation.
  • Manage multiple competing priorities simultaneously, escalating complex issues and concerns to management as required.
  • Utilize Microsoft Office (Outlook, Word, Excel) and Google Suite to track information, schedule resources, and manage documentation.
  • Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
What You’ll Need
  • High School Diploma or GED with up to 2 years of job-related experience.
  • Physical ability to rearrange furniture and equipment weighing up to 50 lbs.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
