University of Maryland Upper Chesapeake Health (UM UCH) seeks a dedicated Medical Secretary to support a busy medical office in Harford County. You will play a crucial role in facilitating daily operations and patient care.

In this role you will handle calls, schedule appointments, manage paperwork, maintain patient charts, and assist the team with visit preparation, while ensuring HIPAA compliance and accurate records.

Qualifications

  • High school diploma or equivalent is required.
  • One year of customer service experience or completion of an accredited Administrative Assistant program within the last 12 months.
  • Previous healthcare or medical office experience is preferred.
  • Demonstrates professional conduct and appearance at all times. Able to manage tasks within set timeframes.

Responsibilities

  • Answer telephone calls, handle routine inquiries, and route non-routine matters to the appropriate person. Ensure paperwork is completed and scanned into patient records.
  • Schedule patient appointments and tests, coordinating with staff to ensure smooth operations.
  • Assist team with preparing for patient visits and processing post-visit documentation; complete Consent to Treat, HIPAA, and other forms as appropriate.
  • Maintain electronic patient charts and organize information for patient arrivals.
  • Obtain registration information, co-pays, and referrals to forward to billing.

We are seeking new and experienced Medical Secretaries to join our extraordinary team!

As a Medical Secretary You Will
  • Answer telephone calls, handle routine inquiries, and refer non-routine matters to appropriate persons. Obtain, complete and follow up on all necessary paperwork in an accurate and timely manner. Maintains records and ensures documentation is scanned into patient records.
  • Schedule patient appointments and tests, coordinating with appropriate personnel as necessary. Schedule return visit appointments as appropriate assuring smooth functioning.
  • Assist team with all facets of preparing for patient visits or processing post visit documentation. Assure completion of Consent to Treat, HIPAA and other forms as appropriate.
  • Maintain electronic patient charts. Organize and prepare the necessary information, reports, records, charts and correspondence before the patient arrives for appointment.
  • Obtain necessary registration information on patients, co-pays, necessary referral forms and authorizations to forward to billing.

Work Experience
Education & Training:

A high school diploma or equivalent is required.

Must have either one (1) year of previous customer service experience or completed an accredited or approved Administrative Assistant program within the last 12 months

Work Orientation & Experience

Previous healthcare or medical office experience is preferred.

Ability to:

  • Maintain appropriate, professional conduct and appearance at all times, follows office dress code consistently
  • Complete work in an established time frame, seek appropriate tasks when primary tasks are completed or pace is slow;
  • Demonstrate willingness to perform other duties to assist the team effort for the benefit of the patients, physicians and fellow team members
