Position: Medical Scheduler

Welcome to Albany Medical Center, providing excellent care to our community each day. We have an exciting opportunity for healthcare employees or entry-level candidates to join our Front Office team as a Medical Scheduler.
An ideal candidate must be able to multi-task in a fast-paced environment, both independently and as part of a team. This is a full-time position (40 hours/week), Monday - Friday, during normal business hours from 8:00 AM to 4:30 PM.
Position Summary
- Assist all patients reporting to the front check-in desk.
- Greet patients promptly, courteously, and professionally.
- Interact with a diverse patient population.
- Utilize the electronic medical record to maintain patient records via registration and scan functionality.
- Update insurance information, attend appointments, collect co-pays, and perform other duties at patient check-in for scheduled appointments.
- Be knowledgeable about state and government agency requirements to provide proper consents for patients who are wards of the state; coordinate with facilities to obtain proper consents from patient proxies.
- Schedule follow-up appointments and referrals as needed when patients check out.
- Communicate professionally and timely with all parties, including providers, patients, clinical care team, and insurance companies.
- Answer incoming phone calls and direct appropriately to team members.
- Convey a professional image by adhering to the established dress code.
Essential Duties and Responsibilities
- Manage registration and scheduling processes for complex patients.
- Update the system with registration, scheduling, and insurance information.
- Prepare patient disability and out-of-work/school paperwork.
- Discuss financial obligations, explain regulatory forms, and answer patient questions.
- Work across multiple systems during patient interactions and phone calls to ensure accurate registration and support clinical workflow.
- Understand the practice and hospital strategic plans.
- Support departmental policies, procedures, and initiatives.
- Represent AMC and uphold the ideals and principles of the department, practice, hospital, and center.
- Exemplify Albany Med CARES guiding principles.
- Ensure an optimal patient experience.
- Promote patient and employee safety as a top priority, report issues promptly, and understand patient safety goals.
Qualifications
- High School Diploma/G.E.D. required.
- 2-3 years of office experience or at least one year in a medical practice preferred.
- Experience with electronic health records and Microsoft Office is a plus.
- Excellent customer service skills.
- Ability to multi-task in a high-volume environment.
- Ability to learn and utilize resources effectively.
- Strong time management skills.
- Ability to review information critically and draw appropriate conclusions.
- Good judgment, problem-solving skills, and escalation when necessary.
